Key Responsibilities:
Calendar Management:
- Manage and coordinate the CEOs calendar scheduling meetings appointments and events with a keen awareness of priorities and time constraints.
- Proactively address scheduling conflicts and ensure the CEO is prepared for all engagements.
Communication Management:
- Serve as the primary point of contact for the CEO handling incoming communications drafting correspondence and managing email.
- Prioritize and respond to inquiries on behalf of the CEO ensuring timely and professional communication.
Meeting Coordination:
- Organize and prepare materials for meetings including agendas presentations and reports.
- Take detailed meeting minutes track action items and follow up with relevant stakeholders to ensure tasks are completed.
Travel Arrangements:
- Plan and coordinate complex travel itineraries including flights accommodations and transportation ensuring seamless travel experiences for the CEO.
- Prepare detailed travel agendas and handle any changes or disruptions as they arise.
Project Management:
- Assist with special projects as directed by the CEO managing timelines resources and deliverables to ensure successful outcomes.
- Collaborate with other team members and departments to support the CEOs strategic initiatives.
Document Management:
- Organize and maintain the CEOs files documents and records ensuring easy access to critical information.
- Prepare and edit presentations reports and other documents as needed.
Stakeholder Engagement:
- Build and maintain strong relationships with internal and external stakeholders representing the CEO in a professional manner.
- Assist in the coordination of highlevel meetings with key partners clients and board members.
Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Ensure all communications and interactions reflect the values and integrity of the company.
Qualifications:
Experience:
- Minimum of 8 years of experience as an Executive Assistant preferably supporting Clevel executives.
- Experience in our industry or a related field is a plus.
Education:
- Bachelor s degree (First Class or 2.1) MBA (Added advantage)
Skills:
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills with attention to detail.
- Proficient in Microsoft Office Suite and GSuite with the ability to quickly learn new software and tools.
- Proven ability to manage complex calendars travel arrangements and confidential information.
