Job Description

This is a remote position.

Virtual Rockstar is looking for a parttime Medical Virtual Assistant to manage various administrative and patientfacing tasks in a fastpaced environment. The ideal candidate will be organized detailoriented and proficient in key software systems. Experience with HelloNote EMR Innovalon Availity Go High Level CRM and Google Workspace is highly desirable.

Our client is a dynamic mobile occupational therapy practice dedicated to providing exceptional care across Virginia. They pride themselves on delivering personalized patientcentered services and are seeking a talented Medical Virtual Assistant to support their growing team.

Responsibilities:

  • Patient Coordination:

    • Confirm and manage patient appointments.

    • Handle patient inquiries via phone and email.

    • Coordinate telehealth appointments and followup with patients postsession.

    • Send exercise and treatment plans.

    • Respond to FAQs and handle appointment rescheduling.

    • Manage referrals from other healthcare providers.

    • Send personalized communications to patients.

    • Maintain a waitlist for appointments and contact patients for feedback.

  • Insurance and Billing:

    • Verify patient insurance coverage and obtain preauthorizations for procedures.

    • Update patient files with insurance information and explain benefits to patients.

    • Liaise with insurance providers to clarify coverage details and track pending claims.

    • Assist patients with insurancerelated queries and follow up on unpaid claims.

    • Post payments to patient accounts and resolve billing discrepancies.

    • Review and appeal denied claims ensuring compliance with coding and billing regulations.

    • Generate billing reports for management.

  • Administrative Support:

    • Organize events and gatherings as needed.

    • Support time management and document handling.

    • Manage therapists schedules and coordinate patient appointments.

    • Send appointment reminders and generate invoices.

    • Maintain electronic medical records and manage email correspondence.

    • Perform data entry and generate basic reports.

    • Transfer information from scribe to HelloNote EMR.



Requirements

  • Proven experience as a Medical Virtual Assistant or similar role.

  • Proficiency with HelloNote EMR Innovalon Availity Go High Level CRM and Google Workspace is a plus.

  • Strong organizational skills and attention to detail.

  • Excellent communication skills (both verbal and written).

  • Ability to handle sensitive information with discretion and maintain patient confidentiality.

  • Familiarity with insurance processes billing and coding regulations.

  • Comfortable working remotely with minimal supervision.
