The Vendor Management Officer is responsible for establishing and maintaining effective relationships with vendors to ensure the timely and costeffective procurement of goods and services. This role involves evaluating vendor performance negotiating contracts managing risks and ensuring compliance with company policies and industry regulations.
Key Responsibilities:
Vendor Relationship Management:
Establish and maintain strong relationships with vendors and suppliers.
Act as the primary point of contact between the company and its vendors.
Facilitate communication between internal stakeholders and vendors.
Contract Negotiation and Management:
Negotiate contracts terms and conditions with vendors to ensure favorable agreements for the company.
Review and manage vendor contracts to ensure compliance with terms and conditions.
Monitor contract renewals and negotiate renewals or terminations as needed.
Performance Monitoring and Evaluation:
Develop and implement vendor performance metrics and key performance indicators (KPIs).
Conduct regular evaluations of vendor performance including quality cost and delivery timelines.
Identify and address any issues or discrepancies with vendor performance.
Risk Management:
Assess and mitigate risks associated with vendor relationships and contracts.
Ensure that vendors adhere to regulatory and compliance requirements.
Implement contingency plans for potential supply chain disruptions.
Procurement Support:
Collaborate with the procurement team to source and evaluate potential vendors.
Support the procurement process by providing insights into vendor capabilities and market conditions.
Assist in the preparation of requests for proposals (RFPs) and vendor selection processes.
Reporting and Documentation:
Maintain accurate records of vendor contracts communications and performance evaluations.
Prepare regular reports on vendor performance and related activities for management review.
Ensure all documentation is uptodate and compliant with company policies.
Continuous Improvement:
Identify opportunities for cost savings and process improvements within the vendor management function.
Stay informed about industry trends and best practices in vendor management.
Recommend and implement improvements to vendor management processes and systems.
Qualifications:
Bachelors degree in business administration supply chain management or a related field.
Proven experience in vendor management procurement or supply chain management.
Strong negotiation and contract management skills.
Excellent communication and interpersonal skills.
Ability to manage multiple vendor relationships and prioritize tasks effectively.
Knowledge of industry regulations and compliance requirements.
Proficiency in using vendor management software and tools.
