We are currently looking for an Administrative / Receptionist Assistant for a contract position with the Department of Justice / United States Attorney s Office (USAO) located in Shreveport Louisiana. This is initially for a 1year contract with 3 additional optional years (for a total of 4 years) with the USAO. Candidates must be U.S. Citizens and be able to clear an extensive background check / clearance investigation by the Department of Justice.
The individual will provide the administrative and clerical duties outlined below:
Perform Receptionist duties including answering the phones directing calls to appropriate individuals greeting and screening visitors controlling access to the office by ensuring that only cleared visitors enter the space log all visitors into the visitor database per policy log incoming packages and notify staff of deliveries to the office.
Process and distributes incoming/outgoing mail. Ensures mail metering machine is working properly and has sufficient postage.
Inventory general office supplies ensuring that supply and copy rooms are stocked with commonly used items.
Notify purchase card holders of common supplies and special orders that need to be placed. Keep supply and copy rooms orderly.
Receive supply deliveries and inspect incoming shipments to verify contents and quality. Notify purchase card holder of supplies received and assist with distribution of supplies to the appropriate location.
Assist with copy machine/printer issues including toner cartridges and repairs needed. Escorts technicians during visits to the office.
Escort movers/installers/other technicians when they come to the office.
Safely stock unpack and relocate various office supplies deliveries and furniture up to 50 pounds.
Assist with physical inventory of office equipment (counting locating barcoding).
Assist with the process of accessing furniture and equipment.
Assist with maintaining government vehicle logs of mileage and charges.
Assist legal support staff on an as needed basis for special copy and scanning projects.
Experience: At a minimum candidates must have a minimum of 1 year of administrative / receptionist experience in a professional office environment (experience working in the legal industry is highly desirable).
Education: At a minimum candidates must have a High School Diploma or equivalent (any postsecondary education is preferred).
Skills: The right candidate will have solid organizational skills; topnotch time management skills; a streamlined and polished communication style (both oral and written); meticulous attention to detail; and the ability to remain calm and poised at all times. Candidates must be skilled in the Microsoft Office suite document management and data entry. The ability to interact with the public is essential.
Additionally: Ability to handle confidential and sensitive matters professionally and with discretion. Must be able to lift item up to 50 pounds on occasion.
This is a full time / 40 hours per week position. Candidates will be working onsite each day (telework is not available for this role). This position offers the accrual of 2weeks of paid time off each year paid federal holidays and is eligible to enroll in our health benefits program.
