Job Description

Overview:

The role of Administrative Assistant is critical to the efficient operation of the organization. The Administrative Assistant provides support to ensure the smooth running of the office and assists with various administrative tasks contributing to the overall productivity and effectiveness of the team.

Key Responsibilities:

  • Manage and coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Assist in the preparation of regularly scheduled reports and develop presentations as needed.
  • Answer and direct phone calls organize and schedule appointments and maintain contact lists.
  • Organize office operations and procedures controlling correspondence and designing filing systems.
  • Support budgeting and bookkeeping procedures including invoicing tracking expenses and handling payments.
  • Assist colleagues whenever necessary to ensure optimal communication and information flow.
  • Monitor and maintain office supplies inventory anticipating needed supplies and placing orders.
  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
  • Contribute to the team effort by accomplishing related results as needed.
  • Handle sensitive information in a confidential manner.
  • Travel coordination and expense reporting.
  • Assist with organizing events and special projects.
  • Maintain a clean and organized office environment.

Required Qualifications:

  • Proven work experience as an Administrative Assistant Virtual Assistant or Office Admin Assistant.
  • Knowledge of office management systems and procedures.
  • Proficiency in MS Office with expertise in Microsoft Word Excel and PowerPoint.
  • Excellent time management skills and the ability to multitask and prioritize work.
  • Attention to detail and problemsolving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fastpaced environment.
  • A creative mind with an ability to suggest improvements.
  • High school diploma; additional qualification as an Administrative assistant or Secretary will be a plus.
  • Knowledge of online calendars and scheduling (e.g. Google Calendar).
  • Ability to work independently with little supervision.
  • Outstanding interpersonal and team player skills.
  • Customer serviceoriented and professional in manner and appearance.
  • Ability to be resourceful and proactive when issues arise.
