Job Description

We are seeking a dedicated Tender Administrator to join our team and play a crucial role in driving our bid management to new heights. In this role you will be the cornerstone of our bid and tender processes ensuring the delivery of highquality winning bids that are both timely and compliant.

As a Tender Administrator you will oversee the entire bid lifecycle from the initial introduction and implementation of best practices to the final submission. Your responsibility will include coordinating and managing our Bid Library ensuring that all documentation is accurate uptodate and readily accessible. Your efforts will directly contribute to the success of our Group by maintaining an organized and efficient bid process setting the standard for excellence in tender management.

Key Responsibilities:

1. TENDER SEARCH AND MANAGEMENT

  • Search for relevant tenders on various platforms
  • Distribute relevant tenders to management
  • Manage and monitor online tender platforms
  • Coordinate inputs to bids from various sources within WSP and externally

2. TENDER DOCUMENT COORDINATION

  • Coordinate compile and complete tender documents across all sectors
  • Source and edit standard information required for tender submissions
  • Enter bid process is followed and proper temples are used
  • Coordinate collection of tender documents and delivery to ensure timely submissions
  • Submit high quality compliant tenders in organised manner

3. RECORD KEEPING AND DATA MANAGEMENT

  • Update spreadsheets databases and records
  • Implement and align best practice tender processes and structures across departments
  • Maintain standards and quality management system adherence

4. COMMINICATION AND CORRESPONDENCE

  • Initiate and respond to written and verbal correspondence
  • Create and maintain a system for organising electronic and hardcopy information
  • Coordinate organise and attend internal meetings
  • Receive and screen communications determine priority attention and provide assistance

5. PROJECT MANAGEMENT SUPPORT

  • Prepare and update project sheets in collaboration with BU Project Administrators
  • Update CVs with BU Project Administrators
  • Manage own priorities to achieve deliverables
  • Understand and adhere to company policies and procedures
  • Escalate issues where there are exceptions to the rules

6. BIOMETRIC SCREENING SUPERVISION

  • Organise and supervise biometric screening sessions
  • Ensure screening processes are completed correctly and in a timely manner
  • Review analyse and interpret biometric data
  • Provide feedback to participants on their results
  • Review and update standard operating procedures

7. REPORTING AND INVOICING

  • Prepare quotations and invoices for clients
  • Prepare daily weekly and monthly reports
  • Ensure adherence to all health and safety regulations

8. MISCELLANEOUS DUTIES

  • Keep the Tender Preparation work area tidy and neat
  • Perform other reasonable adhoc duties as required
  • Oraganise and supervise biometric screening sessions
  • Ensure all health and safety regulations are adhered to






Requirements

  • Bachelor s degree in Business Administration Human Resource Management or a related field.
  • Minimum of 2 years of experience in a tender administration or related role.
  • Proven experience with tender documentation and submission processes.
  • Strong organisational and timemanagement skills with the ability to prioritise tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and experience with tender management software.
  • Attention to detail and a proactive approach to problemsolving.
  • Ability to work independently and as part of a team.
