Job Description

Recognising many administrative tasks are location-agnostic, this position, while based in Jordan, will provide administrative support to members of the senior leadership team based in the United States under the guidance of the Chief of Staff. This position will work as part of a two-person administrative support team providing coverage and redundancy during standard United States East Coast business hours.

Primary Duties And Responsibilities

  • Calendar Management: Optimize senior leadership’s productivity through efficient scheduling and coordination of appointments and meetings.
  • Finance and Expense Oversight: Ensure prompt submission of time and expenses by senior leadership into the company’s finance system.
  • Vendor and Contract Administration: Handle vendor registrations and process purchase orders for senior leadership.
  • Travel Coordination: Collaborate with the Travel Team to organize business travel arrangements, including flights, accommodations, visas, and transportation.
  • Document Management: Execute contract submission into the company contract management system and manage related Docusign tasks.
  • Special Assignments: Provide administrative support for special projects as directed by the North America Chief of Staff, including but not limited to desktop research, writing, and other tasks as needed.

Ad-Hoc Assignments/ Reports

  • As per the Chief of Staff’s requests.

Requirements

  • Educational Qualifications: Bachelor’s degree in business administration or a relevant field.
  • Communication Skills:
    • Excellent written and verbal communication skills in English.
    • Strong interpersonal abilities for professional interaction with all organizational levels.
  • Remote Work Proficiency:
    • Familiarity with remote work tools (video conferencing, cloud services, Microsoft Office Suite etc.).
    • Ability to support remote operations effectively.
  • Professional Experience:
    • o Proven track record as an Administrative Assistant to C-level executives or senior management.
  • Adaptability:
    • o Flexibility to adapt to the changing needs of senior leadership and remote work dynamics.
  • Organizational Abilities:
    • Exceptional organizational and time management skills.
    • Capacity to multitask and prioritize in a fast-paced setting.
  • Discretion and Attention to Detail:
    • High level of confidentiality and attention to detail.
  • Cultural Awareness:
    • Sensitivity to cultural differences within a global team.

Work Conditions

The physical abilities needed to perform the duties of this position, in addition to the office climate:

  • Travel is not required
  • Ability to work standard United States (EST) business hours (3.00 P.M Jordan time - 1.00 A.M Jordan time)
  • Willingness to work additional or irregular hours as needed and allowed by local regulations
