About Us:

GROW Women Leaders is seeking to hire a Front Desk Receptionist. In this role you will be responsible for Reception and Visitor Management Administrative Support Office Management and Customer Service. Your contributions will help us work towards our mission of empowering women particularly immigrants and BIWoC to secure employment and advance their careers.




Job Description:

The Front Desk Receptionist is the first point of contact for visitors and clients responsible for creating a welcoming and professional environment. This role involves managing the front desk answering and directing calls handling inquiries and performing various administrative duties. The ideal candidate will have excellent communication skills a friendly demeanor and the ability to manage multiple tasks efficiently.

  • Greet and welcome visitors and clients with a positive helpful attitude.

  • Maintain a visitor log ensuring all guests are properly documented and have appropriate access.

  • Provide general information about the company including services office hours and directions.

  • Ensure the reception area is tidy and presentable with all necessary materials (e.g. brochures forms).

  • Answer and direct incoming phone calls to the appropriate department or personnel.

  • Manage voicemail messages and ensure timely followup on inquiries.

  • Sort and distribute incoming mail and handle outgoing mail including arranging courier services.

  • Perform data entry tasks maintaining accurate and uptodate records and databases.

  • Prepare documents reports and presentations as required.

  • Provide support for company events and activities including logistical arrangements and guest coordination.

  • Operate and maintain office equipment such as fax machines copiers and computers.




Responsibilities:


  • Welcome and greet visitors and clients warmly ensuring they feel comfortable and attended to.

  • Maintain an accurate log of all visitors including their names purpose of visit and time of arrival and departure.

  • Answer screen and forward incoming phone calls professionally and promptly.

  • Perform other duties as assigned including special projects or administrative tasks that support the overall operations of the office.

  • Handle sensitive and confidential information with discretion and in accordance with company policies.

  • Assist in organizing company events meetings and other activities providing logistical support as required.

  • Facilitate communication within the office helping coordinate between departments.

  • Keep the reception area tidy organized and stocked with necessary materials (e.g. brochures forms).

  • Operate and maintain office equipment ensuring they are in good working condition.

  • Monitor and maintain inventory of office supplies placing orders as needed.

  • Perform data entry tasks maintaining accurate records and databases.

  • Handle and resolve basic complaints or escalate them to the appropriate department.




Skills and Qualifications:

  • Proficiency in writing concise and accurate messages emails and documentation.

  • Active listening abilities to fully understand and address inquiries or concerns.

  • Ability to address and resolve issues or complaints efficiently and courteously.

  • Capability to handle multiple tasks simultaneously while maintaining attention to detail.

  • Precision in maintaining accurate records handling documentation and managing appointments.

  • Competence in using computer software particularly Microsoft Office Suite (Word Excel Outlook) and basic knowledge of database systems.

  • Familiarity with operating office equipment such as telephones photocopiers fax machines and scanners.

  • Proficiency in using office equipment such as telephones fax machines photocopiers and computers.

  • Competence with office software applications particularly Microsoft Office Suite (Word Excel Outlook).

  • Ability to sit stand and walk for extended periods.
