Job Description

Overview

The Executive Assistant in Aviation plays a crucial role in providing administrative support to the executive team of an aviation organization. They are responsible for ensuring the seamless operation of the executive office managing sensitive information and facilitating effective communication between internal and external stakeholders.

Key Responsibilities

  • Coordinate executive communications including taking calls responding to emails and interfacing with clients
  • Manage executives calendars including scheduling meetings appointments and travel arrangements
  • Prepare agendas attend meetings and take minutes
  • Conduct research and prepare presentations or reports
  • Handle confidential information maintain files and ensure document security
  • Assist in budget management and expense tracking
  • Oversee office operations and logistics
  • Coordinate travel arrangements accommodations and itineraries for executive team
  • Act as the point of contact between executives and internal/external clients
  • Support in organizing corporate events and teambuilding activities

Required Qualifications

  • Bachelors degree in Business Administration Aviation Management or a related field
  • Proven experience as an executive assistant in the aviation industry
  • Proficiency in MS Office and experience with aviationspecific software
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Ability to handle sensitive information with confidentiality
  • Knowledge of aviation industry protocols and practices
  • Ability to prioritize tasks and work efficiently under pressure
  • Adaptability and ability to work in a fastpaced environment
  • Proactive problemsolving and decisionmaking abilities
  • Attention to detail and high level of accuracy
  • Ability to build strong relationships with internal and external stakeholders
  • Experience in managing travel arrangements and itineraries
