Project Name:
GoA Service Desk RFP Transition Operational activities project

Scope:
The Technology and Innovation ministry requires resources to support the GoA Service Desk RFP Transition Operational activities project for the Government of Alberta Ministries.

Key Responsibilities:
Collaborate with our vendor s Project Manager to facilitate a smooth transition
Act as a liaison between internal support teams and the vendor ensuring that all resources are effectively mobilized and transition activities are meticulously tracked and executed according to the schedule.
Oversee project tracking activities including the maintenance of dashboards SLA reporting and other reporting mechanisms to fulfill contractual obligations.
Work closely with the Service Owner to verify that the vendor s transition plan aligns with the contract s stipulations.
Regularly update the Service Owner and stakeholders on project progress promptly identify any issues and develop strategic solutions to address them.

Skills Assets:
Proven experience in project management preferably with a background in service desk operations and contract transitions.
Strong understanding of AIdriven support systems call management strategies and contact center technologies.
Excellent communication and coordination skills to manage diverse teams and maintain project alignment with strategic goals.

The resource will support various IMT initiatives identified through intakes and prioritized through IMT Governance mechanisms including but not limited to the IMT Sector Roadmap initiatives.

Duties:
Responsible for the coordination and completion of IT projects. Oversees all aspects of projects. Sets deadlines assigns responsibilities and monitors and summarizes progress of project. Builds and maintains working relationships with team members vendors and other departments involved in the projects. Prepares reports for upper management regarding status of project.

Compile project charters and business/project plans to support activities including the most suitable approach to be used in the development of each applicable project to ensure business objectives and data integrity are achieved.
Manage project(s) that will document business requirements design and deliver IT solutions that are compliant with and contribute to the Ministries enterprise architecture.
Assist with the development of recommendations including providing details of resource requirements dependencies interdependencies policy implications pertaining to internal/external influences and the methodology to be applied.
Produce and package deliverables for presentation to various internal support teams steering committee and other project stakeholders.
Manage multiple projects project resources and project governance.
Work with project sponsors to ensure that effective project communication exists through the duration of the project including escalation of risks as required.
Take responsibility for ongoing client satisfaction manage peerlevel client relationships and overcome hurdles to ensure winwin solutions.
Collaborate with business and IT leadership to develop a welldefined project plan that clearly states the project s objectives scope assumptions timeline resource requirements risks benefits and budget.
Work with project sponsors and the project management office to develop a project organization structure with clearly defined roles and responsibilities for all stakeholders.
Document and report project status against established objectives milestones budget and resources and facilitate tracking and closure of issues and risks.
Develop project schedule plans and strategies estimate resource requirements develop and monitor work plans and take corrective action for completion of project tasks.
Provide guidance to project resources in establishing work priorities and prompt delivery of project tasks.
Develop as required related requirements documentation.
In collaboration with project sponsors assess whether the project achieved stated outcomes and identify opportunities for improvement for future similar projects.
Provide leadership and assistance to business and project teams that require change management and communication support.
Work within the standards defined by the project management office and in the absence of standards work with the project management office to define new standards.

Equipment requirements:
It is preferred if resource has their own equipment though GoA will provide laptop/desktop if necessary.

Working Hours:
Standard Hours of work are 08:15 16:30 Alberta time Monday through Friday excluding holidays observed by the Province
Work must be done from within Canada due to network and data security issues.
It is anticipated the role will be 100% remote however in the event of an onsite meeting the GoA does not pay for travel to attend onsite meetings nor any expenses related to relocation commuting housing/accommodation food/drink.

Notes on Location:
Resource will work remotely though must be available for onsite meetings when required.

Onsite meetings include but are not limited to strategic architectural and technical discussions meeting with team members senior managers directors executive directors and business clients. Frequency of meeting could be up to 34 times per month.

Incumbency:
Previously this role was filled by a contractor however for this and all other opportunities the Ministry seeks the best person to fill the role.

Standard Background check required
The Supplier shall prior to commencement of the Services provide the Province on its request and at no cost to the Province with criminal record checks.

Mandatory Training Courses:
Once hired the resource will be required to complete all mandatory training which includes but not limited to Freedom of Information and Protection of Privacy Act and Security awareness training. There may also be some optional courses as well.
