The Personal Assistant to General Manager will be responsible for enhancing the executives effectiveness by providing information and support to the General Manager.
Minimum experience 45 years working in a fastpaced executive administrative and operational environment.
Fluent in English (Speaking Writing and Reading).
Main Duties and Responsibilities
- Liaise between General Manager and various departments to facilitate smooth daily operations
- Ensuring all operations are carried on in an appropriate costeffective way
- Improving operational management systems processes and best practices
- Perform quality controls and monitor production KPIs
- Conserve General Managers time by reading researching and routing correspondence; drafting documents reports presentations and correspondence for review and/or signature from dictation handwritten notes and conversation
- Research prioritise and follow up on incoming issues and concerns addressed to General Manager including those of a sensitive or confidential nature. Determines appropriate course of action referral or responds
- Able to work independently on projects from conception to completion. Must be able to work under pressure at times to handle a wide variety of activities and confidential matters
- Maintain an updated and accurate calendar as well as schedules appointments and office meetings as requested
- Maintain company confidence and protects operations by keeping information confidential
- Work closely and effectively with the director keeping him well informed of upcoming commitments responsibilities and deadlines following up appropriately
- Maintain an extensive filing system for correspondence business matters personal matters and other related data
- Facilitate management meetings by planning agendas developing and distributing; presentations and reports and capturing meeting minutes and followup action plans
- Perform other related duties as assigned
