Job Description

The Personal Assistant to General Manager will be responsible for enhancing the executives effectiveness by providing information and support to the General Manager.

Minimum experience 45 years working in a fastpaced executive administrative and operational environment.

Fluent in English (Speaking Writing and Reading).

Main Duties and Responsibilities

  • Liaise between General Manager and various departments to facilitate smooth daily operations
  • Ensuring all operations are carried on in an appropriate costeffective way
  • Improving operational management systems processes and best practices
  • Perform quality controls and monitor production KPIs
  • Conserve General Managers time by reading researching and routing correspondence; drafting documents reports presentations and correspondence for review and/or signature from dictation handwritten notes and conversation
  • Research prioritise and follow up on incoming issues and concerns addressed to General Manager including those of a sensitive or confidential nature. Determines appropriate course of action referral or responds
  • Able to work independently on projects from conception to completion. Must be able to work under pressure at times to handle a wide variety of activities and confidential matters
  • Maintain an updated and accurate calendar as well as schedules appointments and office meetings as requested
  • Maintain company confidence and protects operations by keeping information confidential
  • Work closely and effectively with the director keeping him well informed of upcoming commitments responsibilities and deadlines following up appropriately
  • Maintain an extensive filing system for correspondence business matters personal matters and other related data
  • Facilitate management meetings by planning agendas developing and distributing; presentations and reports and capturing meeting minutes and followup action plans
  • Perform other related duties as assigned

Experience Required

  • Operational Management
  • Minimum experience: 45 years working in a fastpaced executive administrative environment
  • Minimum Educational Level Required: Bachelors Degree
  • Minimum Career Level Required: Experienced (Manager)
  • Languages Required: Fluent in English (Speaking Writing and Reading)

Other Requirements

  • Bachelors or masters degree in business administration or equivalent
  • Excellent communication skills good judgment ability and multitasking skills
  • Work independently act with appropriate urgency initiative
  • Ability to accommodate working styles and perspectives of diverse individuals
  • Maintaining utmost confidentiality with sensitive and personal information ability to prioritize own work and resources to complete projects on time and solve routine problems effectively
