Job Description

Our client located in Washington DC is seeking a Coordinator of Program Support to provide administrative and budget support for the department. This is an excellent opportunity to support staff and vendors on various projects related to meetings and events.

This position is hybrid (2 days per week onsite).

POSITION SUMMARY

The Coordinator of Program Support is responsible for managing details related to the retail/lending/marketing conferences and schools and works directly with each Program Manager and team lead. This position ensures noncontentrelated tasks are completed for each conference and school including all aspects of administrative and budget support. The Coordinator serves to help program managers increase efficiency and assist in making all events more successful.

The Coordinator ensures the necessary procedures and steps for each event are in place and accomplished on time escalation issues are handled appropriately and follow up on outstanding items is promptly addressed. This position is the first point of contact for noncontentrelated event inquiries and for individual inquiries from students attendees speakers and school faculty.

RESPONSIBILITIES

  • Complete data entry complying with event contract and speaker release management.
  • Coordinate and deliver all aspects of event speaker management including speaker kits speaker contracts speaker tracking and documents retention.
  • Develop assemble and distribute communications and materials shared with attendees speakers and faculty prior to each event.
  • Support budget and expense management including coding and processing of invoices and expense reports tracking of expenses in budget tracking sheets and managing process for event expenses.
  • Coordinate with registrars to receive the product ID and related budget codes for each group event; maintain and update the list each fiscal year.
  • Create and prepare student binders and communications to conference attendees and speakers leading up to an event.
  • Serve as the first point of contact for noncontentrelated program inquiries and for inquiries from students attendees speakers and school faculty.
  • Coordinate sending the overall survey with survey manager and serve as point of contact for email address for event overall survey.
  • Complete entry of event programs for online and mobile app platforms.
  • Attend team meetings and provide necessary updates including creating customized PowerPoint decks as required for board meetings or other special meetings with input from Program Directors and/or VP.
  • Maintain knowledge of contract management system and budgeting process and compliance requirements for speaker release management procedures.
  • Provide miscellaneous program support.

SKILLS & ABILITIES

  • Ability to manage simultaneous projects with competing deadlines
  • Ability to enter data accurately and efficiently
  • Ability to work collaboratively with internal/external customers
  • Ability to quickly learn new systems/platforms
  • Positive attitude and willingness to learn

REQUIRED EDUCATION AND/OR EXPERIENCE

  • Minimum of one year of relevant experience
  • Experience tracking/managing multiple initiatives simultaneously
  • Proficiency in Microsoft Office Suite (Word Excel Access PowerPoint)
  • Degree preferred but not required
