Job Description

Our client a wellestablished automotive company based in Johannesburg is seeking a Warranty Clerk who will be responsible for managing warranty claims in accordance with industry regulations and standards. The successful candidate will have a strong background in the automotive industry and possess exceptional skills in warranty administration to support the growth and success of the organization.

Purpose of the Job:

The Warranty Clerk is responsible for maintaining warranty records and processing warranty claims. This role involves working with customers vendors and other departments to resolve warranty issues. Additional duties include preparing reports handling customer inquiries and providing administrative support to the department. The Warranty Clerk will also stand in for the Service Advisor when required.

Duties:

Processing of Warranty Claims:

  • Process all warranty paperwork to ensure proper documentation for submission to the OEM/factory/distributor.
  • Verify criteria required by OEM/factory or distributor.
  • Reconcile all warranty receivables with payments through the appropriate systems.
  • Resubmit all rejected claims within 24 hours or receive authorization to write them off (in writing).
  • Follow up on outstanding claims; ensure no outstanding claims are older than 5 days without action and a communication plan in place (in writing).

Disposal of Parts:

  • Track warranty parts by tagging with repair order number date of replacement and date of disposal.
  • Manage the warranty store in accordance with OEM standards.
  • Arrange for parts to be returned to the OEM/factory/distributor where required or prepare documentation for destruction within dealershipagreed timelines.

Compliance and Record Keeping:

  • File and maintain all service records as required by the OEM/factory/distributor.
  • Stay informed of all factory recalls and bulletins.

Communication Reporting and Support:

  • Assist with allocated duties to support the After Sales Department as necessary.
  • Maintain communication with dealership staff customers OEM/factory and/or distributor to resolve queries.
  • Compile and submit weekly reports of outstanding warranty claims.

  • 5 years experience in a similar role as Warranty Clerk
  • Knowledge of analysis and report writing
  • Computer literate
  • Valid driver s license
