We are seeking a detailoriented and organized Back Office Assistant to join our team. This role is essential in supporting the smooth operation of our business by handling various administrative tasks and ensuring efficient backoffice functions.
Key Responsibilities:
1. Administrative Support: Assist with daytoday administrative tasks such as data entry filing scanning and managing documents.
2. Communication: Handle incoming calls emails and correspondence. Route inquiries to appropriate departments and respond to general inquiries.
3. Record Keeping: Maintain accurate records and files ensuring information is uptodate and easily accessible.
4. Coordination: Assist in scheduling appointments meetings and travel arrangements for staff members.
5. Database Management: Update and maintain databases ensuring data integrity and confidentiality.
6. Report Preparation: Assist in preparing reports presentations and spreadsheets as needed.
7. Support Operations: Collaborate with other departments to facilitate seamless operations and support special projects as assigned.
Qualifications:
High school diploma or equivalent; associates degree preferred.
Proven experience in an administrative or backoffice role is advantageous.
Proficiency in MS Office Suite (Word Excel Outlook) and other office software.
Excellent organizational and time management skills.
Strong attention to detail and accuracy in work.
Effective communication skills both verbal and written.
Ability to multitask and prioritize tasks effectively.
