Designation: Executive Secretary to Director
Location: Head Office Mumbai
Job Description/Desired Profile:
Would be responsible to manage the Directors Office. Would be responsible for calendar management requiring interaction with both internal and external customers and coordinate a variety of complex executive meetings Answer phones and direct and guide all incoming calls promptly and efficiently. Communicate and handle incoming and outgoing electronic communications on behalf of the Director. Review and summarize miscellaneous reports and documents; prepare background documents and answer outgoing mail as necessary. Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner Updating the Travel schedule and hotel reservations for Director & family as needed and informed by the Travel Team. Ensure that all confidential & sensitive information is securely handled stored as appropriate & no such information is divulged or made accessible to unauthorized person. Coordinate various meetings from Directors office and look after day to day activities in Directors office. Record Management Over and above the defined role executing additional tasks which are assigned on day to day basis by the Director and his family. Online Purchase of the Items as and when required by the Director and his family Maintaining contact database of the Director. Coordinate and followup on all tasks assigned by the top management within the allotted deadlines Schedule and coordinate meetings conferences conference calls internal sessions special events etc. Manage correspondences and communication as per the instructions and maintaining confidentiality at all levels. Research work for a work area given by the Director. Organizing & coordinating events & conferences. Organize and maintain the office filing system. Screen and pay the Invoices on time received for payment after the approval from the Director.
Desired candidate profile:
- Graduate with 8 years of relevant experience preferably having diploma in Secretarial Practice.
- Proficiency in computer applications.
- Should be able to multitask.
- Should have prior work experience in managing the above mentioned tasks.
