Job Description

  • Prepare and develop client s capital expenditure budgets and forecasts for projects for entry in the Rolling Capital Plan.
  • Regularly maintain and review information in Rolling Capital Plan: prepare monthly recommendations to the Global Leadership team and PGO Leads.
  • Review and challenge cost estimates provided by tier 1 suppliers against benchmarks Service Agreements etc.
  • Oversee expenditure and review tier 1 suppliers cost management activities.
  • Review monthly Cost Reports and Project Status Reports (PSRs) and make recommendations on best practice cost management.
  • Review challenge improve and direct cost management processes provided by tier 1 suppliers.
  • Regularly liaise with the global team with a view to ensure global consistency.
  • Drive consistency and data integrity.
  • Liaise with finance to track PL impact of projects and track assets under construction to ensure timely and accurate financial closeout capitalisation and depreciation of project spend.
  • Collation of new cost data and use of client s historic cost data for benchmarking Furthermore the accuracy of the initial budget should be assessed at the end of each project as part of the project close out process.
  • Generate analysis to compare benchmarking data against other similar institutions using CBRE internal data.
  • Daytoday use of the clients Project Management Database to review cost reporting information inputted by tier 1 suppliers and ensuring budgets are accurate and up to date with all approved variations.
  • Perform high level commercial reviews on all projects and perform audits of cost underspend/escalation on projects including reviewing Risk Registers Change Control Log Value Creation Log etc.
  • Establish interfaces and liaise with client stakeholders e.g. Security and IT to better prepare and track the project budgets / pipeline across the region.
  • Preparation of accurate timely and complete reports to the client.
  • To perform additional duties which may be required from time to time as required.

Key Responsibilities Ensure that each project is managed in full accordance with the clients processes. Ensure On-Time / On-Budget metrics are met in line with the KPI tolerances on all projects. Regular Dashboard reporting to key stakeholders on progress, risk, schedules and quality. Day to day management of dedicated Project and Support Coordinator team ensuring all database administration and financial governance is carried out within clients finance systems. Manage the set up, running and close out of all financial and non-financial project related matters. Initiation of Project funding process Tracking of Project Funding Requests and updates. Assist in preparation of Project Requirements / Scoping information, Budgets and Cost Estimates Coordinate and prepare various reports and presentations as required. Project Vendor Management performance monitoring of designers, consultants and contractors. Devise and communicate procurement strategies for approval. Coordinate and implement process and procedures for the wider PJM Team. Additional ad hoc tasks supporting the PJM Team. Assist with preparation of capital expenditure budgets and forecasts. Ensure all aspects of project Health, Safety and Environmental requirements are met and all project members are meeting their obligations under the relevant H&S laws in location. Ensure all of clients Environmental and Sustainability targets are met throughout the feasibility, design and implementation of projects. Ensure correct contracting process is followed for each region and that service levels are met in compliance with agreements. Prepare project scheduling and conflict avoidance with BAU and FM activities and change freezes to maximize programme duration and minimise risk. Person Specification/Requirements Experience Experience in managing/running commercial construction projects circa $20M+ Experience and knowledge of Corporate Client Processes, Governance and Compliance. Experienced in Stakeholder management and client interface at senior level. Experience in database systems and project administration. Experience in construction/design/fit out/project management Skills Exceptional client relationship skills. Intermediate to advanced level in Microsoft Office applications. Good interpersonal skills A team player that interacts effectively with colleagues and clients. Ability to prioritise workload with an attention to detail and willingness to complete projects. Ability to work independently with minimal supervision. Proactive and positive attitude with a calm and methodical approach to work. Ability to learn new tasks, systems and skills quickly. Qualifications / Professional Memberships Degree level qualification in appropriate subject matter. Technical and / or project related qualifications an advantage.
