As a Human Resources Supervisor, you will be responsible for providing first-class employee relations services to the Human Resources Director and management team to deliver an excellent staff experience. A Human Resources Supervisor will also be required to support employee relations and ensure compliance with staff training requirements. Specifically, you will be responsible for performing the following tasks to the highest standards: • Listen and respond to inquiries made by individuals calling or walking into the Human Resource office using a clear speaking voice to meet their needs. • Assists incoming employees, managers or candidates and provides accurate information. • Directs and manages the day-to-day HR Department operation. • Communicates all applicable human resources processes to managers and hotel staff relating to, but not limited to contract compliance, disciplinary procedures, recruitment, orientation, employee relations, benefits, performance reviews, employment verification and other HR related processes. • Counsles and/or disciplines employees as needed through clear, calm and direct oral and written communications in accordance with corporate and hotel specific guidelines. • Answers questions, provides forms or directions. Refers all complex situations (complaints of harassment, etc) promptly to Director, Human Resources • Directs the hotel’s employee relations programs including holiday functions, health fairs, employee communication sources, etc. and coordinates and directs staff through detailed oral and written instruction to facilitate successful completion of all related events/programs. Designs and implements new programs as may be needed for special promotions, events or programs (e.g. safety, blood drives). Ensures events are in keeping with the approved budget. • Monitors and follows up on time records and meal and break period reporting. • Communicates challenges to the Human Resources Director. • Processes Payroll for the location assigned. Communicates with Centralized payroll representatives, managers and employees in regards to payroll. • Directs and manages the overall function of the Oasys HRIS system including but not limited to all data entry, hires, separations, report generating and other related HRIS functions. Responds to and negotiates on behalf of the hotel for all unemployment claims. • Provides administrative assistance such as filing paperwork, copy and distribute disciplinary action notices, breakdown, sort and deliver new hire and termination files, copy and send exempt reviews to employee files/managers and department heads. Maintain department and personnel files. Creates and distributes memos, flyers and newsletters, as assigned. • Assists in planning and execution of various HR programs and initiatives. Coordinate meetings, create materials and presentations, research key topics, and provide ongoing support and follow up in project timelines. • Maintains employee and applicant bulletin boards as well as the department communication meeting related minutes and other information. Maintains all hotel personnel records and Human Resources files to ensure confidentiality where necessary. In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions based upon the particular requirements of the company; • Coordinates and prepares all government relation activities, forms, documentation required towards both guest and employee related matters, i.e. residency renewals, health card, licenses renewal and tracking etc. • Controls locker assignments by maintaining written records of locker numbers and combination. Requests in writing and discuss verbally repairs and key duplications for lockers as needed. • Prepare ID cards, name tags, punch cards as necessary. • Manually open then visually examine mail in order to sort and direct mail. • Assists terminated employees in exiting process by visually examining exit check list to ensure correctness, and visually offering exit interview form. • Mails by certified mail any termination check not picked up after thirty days to the last known address. This requires manually putting checks into an envelope, typing the address and completing a certified form in writing. • Ensures that sufficient numbers of forms and proper level of supply are maintained in the Human Resource Office. • Maintains all hotel personnel records and Human Resources files to ensure confidentiality where necessary. • Assists in the development of all team members by developing or using predetermined programs and/or instructs in the skills and techniques required to perform their job in accordance with the standard determined by the corporation and/or hotel. • Any other tasks assigned by General Manager or Director, Human Resources What are we looking for?
