Job Description

This is a remote position.

Position Overview:

An Executive Assistant will work closely with our busy Executive and will play a pivotal role in ensuring seamless communication and efficient operations within our organization. The primary responsibility will be to manage all email correspondence on behalf of the executive maintaining professionalism and timeliness in responses. Additionally he or she will provide essential support with daily administrative tasks to enhance the executives productivity and effectiveness.

Key Responsibilities:

1. Email Management:
  • Monitor and prioritize the executives email inbox responding to messages flagging urgent requests and drafting replies as necessary.
  • Maintain a systematic approach to managing emails ensuring important communications receive prompt attention and followup.
2. Daily Administrative Support:
  • Assist the executive with a variety of administrative tasks including calendar management scheduling meetings and coordinating travel arrangements.
  • Prepare documents presentations and reports for meetings and presentations ensuring accuracy and completeness.
3. Communication Liaison:
  • Serve as the primary point of contact for internal and external communication on behalf of the executive handling inquiries phone calls and requests with professionalism and discretion.
  • Facilitate effective communication between the executive and various stakeholders ensuring messages are relayed accurately and efficiently.
4. Project Coordination:
  • Assist in coordinating and managing projects and initiatives led by the executive including tracking progress deadlines and deliverables.
  • Collaborate with other team members and departments to ensure timely completion of tasks and projects.
5. Information Management:
  • Maintain confidentiality and discretion in handling sensitive information including confidential documents reports and communications.
  • Organize and manage files records and databases to ensure easy access to information as needed.



Requirements

Qualifications:
  • Bachelors degree in Business Administration Management or related field preferred.
  • Proven experience as an Executive Assistant or similar role supporting senior executives or management.
  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines in a fastpaced environment.
  • Excellent written and verbal communication skills with attention to detail and accuracy in correspondence.
  • Proficiency in Zoho One Apps is a plus but not required. Can train a right candidate.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong interpersonal skills with the ability to interact effectively with individuals at all levels of the organization.
  • Flexibility and adaptability to changing priorities and requirements.
  • Experience in managing email correspondence and scheduling.

  • Email Management: Ability to manage efficiently and prioritize email correspondence ensuring timely responses and followups.
  • Calendar Management: Proficient in scheduling meetings appointments and travel arrangements and managing the executives calendar effectively.
  • Communication Skills: Excellent written and verbal communication skills with the ability to convey information clearly and professionally.
  • Organization and Time Management: Strong organizational skills and the ability to manage multiple tasks and deadlines simultaneously.
  • Attention to Detail: High level of attention to detail and accuracy in all aspects of work including correspondence document preparation and information management.
  • ProblemSolving: Proactive problemsolving skills and the ability to find solutions to challenges independently.
  • Confidentiality: Ability to handle confidential and sensitive information with discretion and maintain a high level of confidentiality.
  • Adaptability: Flexibility and adaptability to changing priorities and requirements in a dynamic work environment.
  • Technical Proficiency: Proficiency in Microsoft Office Suite and other relevant software applications including email and calendar management tools.
  • Interpersonal Skills: Strong interpersonal skills and the ability to build and maintain professional relationships with internal and external stakeholders.
