Overview:
The Administrative Assistant plays a crucial role in ensuring the smooth operation of the office providing support to staff and maintaining efficient office procedures. They are responsible for various administrative tasks that contribute to the organizations success.
Key Responsibilities:
- Organize and schedule appointments
- Assist in the preparation of regularly scheduled reports and presentations
- Develop and maintain a filing system
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Produce and distribute correspondence memos letters faxes and forms
- Support and facilitate the completion of regular reports
- Conduct research
- Book travel arrangements
- Submit and reconcile expense reports
- Coordinate and organize meetings
- Uphold a strict level of confidentiality
- Assist in the preparation of regularly scheduled reports and presentations
Required Qualifications:
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Attention to detail and problemsolving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office
- At least 2 years of experience in the field or in a related area
- Ability to resourcefully solve problems independently
- Ability to multitask and prioritize daily workload
- High level of integrity and professionalism
- Ability to handle sensitive information and maintain confidentiality
- Associates Degree or equivalent work experience
- Strong customer service orientation
- Ability to work well under pressure
