About the Role

HerMD is seeking a parttime Executive Assistant extraordinaire (EA) to support our CSuite. The EA will provide highlevel administrative support to the Chief Executive Officer Chief Medical Officer Chief Financial Officer and Chief Operating Officer). The ideal individual will possess strong written and verbal communication administrative and organizational skills and the ability to work well in a fastpaced environment.

This role will report directly to the Chief Medical Officer. Hours may vary weekly depending on needs with a baseline of 2530 hours a week some of which can be completed remotely. The ideal candidate will reside near the HerMD Cincinnati location.

Responsibilities

  • Manage sensitive matters for the C Suite with a high level of confidentiality and discretion

  • Organize and manage exec team s calendars as requested

  • Arrange CSuite s travel and accommodations

  • Manage select email correspondence and external communications

  • Coordinate and disseminate meeting invitations prepare meeting agendas draft and finalize meeting minutes

  • Craft letters and announcements

  • Manage the CSuite s social media accounts creating filming and sharing engaging content across various media platforms (TikTok Instagram Facebook LinkedIn)

  • Plan executive offsite meetings

  • Preparation of slide decks and presentations for executive speaking engagements and executive meetings

  • Booking and management of executive travel accommodations for conferences and events

  • Order laptops and other materials for new hires

  • Other duties as assigned

  • Ability to function in a fastpaced environment

  • Ability to multitask and balance multiple priorities

  • Strong time management and ability to meet deadlines

  • Strong problem solving and creative thinking skills

  • High level of integrity and dependability

  • Proficiency with technology in general but specifically with Google Suite Microsoft Office (Word Excel Powerpoint) and Zoom

  • Demonstrate ability and temperament to work with sensitive information

  • Demonstrate ongoing professionalism and a commitment to a strong sense of duty that ascribes to the mission and vision of HerMD

  • Willingness to commute between various local locations within the area to perform duties as assigned

Nice to haves

  • Previous experience working in a healthcare practice or startup organization

  • An interest in improving women s healthcare

  • Previous experience in administrative assistance

  • 23 years of professional social media management experience
