Job Description

Overview:

The Executive Assistant (EA) to the Director plays a crucial role in providing highlevel administrative support to the Director and facilitating the smooth functioning of the executive office. The EA acts as a point of contact for internal and external stakeholders manages the Directors schedule and handles confidential information.

Key Responsibilities:

  • Manage the Directors calendar including scheduling meetings appointments and travel arrangements
  • Coordinate and prioritize incoming requests including emails calls and correspondence
  • Prepare and organize materials for meetings presentations and reports
  • Conduct research and compile data to support the Director in decisionmaking
  • Handle sensitive and confidential information with integrity and professionalism
  • Act as a liaison between the Director and internal/external parties
  • Assist in the preparation and followup of meetings including recording minutes and action items
  • Ensure smooth office operations by managing office supplies equipment and maintenance
  • Organize and maintain the Directors files records and documents
  • Coordinate with other executives and assistants to ensure seamless communication and collaboration
  • Provide support for events conferences and other professional engagements
  • Handle any adhoc administrative tasks as required

Required Qualifications:

  • Bachelors degree in any stream
  • Proven experience as an executive assistant or similar role supporting Clevel executives
  • Proficiency in office management systems and procedures
  • Advanced knowledge of MS Office including Word Excel and PowerPoint
  • Exceptional organizational and time management skills
  • Strong written and verbal communication abilities
  • Ability to prioritize and multitask in a fastpaced environment
  • Discretion and confidentiality in handling sensitive information
  • Ability to anticipate needs and act proactively
  • Excellent attention to detail and problemsolving skills
  • Adaptability and willingness to take on new challenges
  • Professional and polished demeanor
  • Ability to work effectively both independently and as part of a team
