Overview:
The Executive Assistant (EA) to the Director plays a crucial role in providing highlevel administrative support to the Director and facilitating the smooth functioning of the executive office. The EA acts as a point of contact for internal and external stakeholders manages the Directors schedule and handles confidential information.
Key Responsibilities:
- Manage the Directors calendar including scheduling meetings appointments and travel arrangements
- Coordinate and prioritize incoming requests including emails calls and correspondence
- Prepare and organize materials for meetings presentations and reports
- Conduct research and compile data to support the Director in decisionmaking
- Handle sensitive and confidential information with integrity and professionalism
- Act as a liaison between the Director and internal/external parties
- Assist in the preparation and followup of meetings including recording minutes and action items
- Ensure smooth office operations by managing office supplies equipment and maintenance
- Organize and maintain the Directors files records and documents
- Coordinate with other executives and assistants to ensure seamless communication and collaboration
- Provide support for events conferences and other professional engagements
- Handle any adhoc administrative tasks as required
Required Qualifications:
- Bachelors degree in any stream
- Proven experience as an executive assistant or similar role supporting Clevel executives
- Proficiency in office management systems and procedures
- Advanced knowledge of MS Office including Word Excel and PowerPoint
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Ability to prioritize and multitask in a fastpaced environment
- Discretion and confidentiality in handling sensitive information
- Ability to anticipate needs and act proactively
- Excellent attention to detail and problemsolving skills
