Reports to: Senior Operations Manager
Location:You will be required to work from the London office (E2) a minimum of two days a week typically Tuesdays and Thursdays and will have the flexibility to work from home or the office for the remaining three days. Please note that the number of days in the office may increase during busy periods and according to the needs of the business typically from February to May during the Entry Phase.
Purpose of the job:
The Operations Executive oversees the creation and presentation of awardwinning content and digital assets ensuring they meet D&ADs standards. They oversee submission preparation and publication on various platforms such as the D&AD website press releases ceremonies and rankings. Their duties involve verifying entries supervising a team ensuring precision optimising award submissions and innovating operational strategies for future excellence. This role is pivotal in maintaining the smooth operation of D&AD Awards and entry/result processes.
Responsibilities & Duties
Main accountabilities/responsibilities of the role include but are not limited to:
Operations
Oversee and drive operational delivery of credits submitted for the D&AD Awards.
Ensure accurate proofing checks and completeness of all awards credits to present them to a high standard during the results and rankings phase.
Efficiently process all credit modifications with precision.
Support the recruitment of sessional staff to meet project needs.
Lead a seasonal team ensuring they meet targets and deadlines while providing guidance and support to ensure consistent and efficient credit processing.
Generate the D&AD Rankings based on credits and results obtained from D&AD Awards Judging.
Ensure all credit data provided to external sources is accurate. Including the Awards results press releases and ceremony credits.
Oversee the proofing and cross checking of all awards content for D&AD awards events including the ceremony winning entry images videos and credits.
Collaborate with relevant stakeholders to ensure timely and accurate publication of the rankings.
Communicate with external suppliers as needed for project delivery.
Report project risks to management when necessary.
Provide support in managing online judging and live judging when required.
Coordinate the ongoing review and implementation of all awards systems including but not limited to entry judging cataloguing customer service and content collection systems
Support recruitment and training of sessional staff where necessary
Be a point of support for the operations manager supervising and supporting the Production Team when necessary.
Research & Development
Develop and review awards systems including credits collection ranking point system and rankings methodology as well as customer service.
Develop building and implementing technical systems for the launch of awards programs including the preparation and supply of matrices.
Collaborate with the CRM manager to cleanse and enhance the companys data in preparation for future awards cycles.
Examine and enhance the accuracy consistency and currency of the companys data within Salesforce.
Conduct testing of Awards Systems and perform competitor research
Customer Service & Communication
Support queries and confidently and efficiently handle incoming credits/results inquiries.
Ensure excellent yearround communications to our D&AD community.
Provide support with queries and efficiently address incoming Awards inquiries.
Assist international representatives during entry periods to ensure accurate communication of D&AD Awards messaging and operational processes.
General
Provide regular feedback to aid the review and development of all awards products
Develop presentations where necessary to communicate to project teams and management
Represent D&AD at events wherever necessary
Additional administrative tasks as required
Support the wider awards team on ad hoc projects as required
Requirements:
Proven management and research and developmentwork experience.
Experience in operations data management or a similar role.
Strong organisational and multitasking skills to handle multiple tasks effectively.
Excellent attention to detail and accuracy in credit verification and data processing.
Proficiency in using Salesforce or other CRM systems.
Leadership abilities to effectively supervise a temporary team.
Outstanding written and verbal communication skills.
Knowledge of the advertising and design industry is desirable.
As an Operations Executive you will play a pivotal role in maintaining the quality of credits entered during the D&AD Awards cycle and generating the prestigious D&AD Rankings. Your attention to detail and ability to lead a temporary team will ensure the accuracy and integrity of the data used for rankings. During the offseason your collaboration with the CRM manager will be vital in enhancing the companys data and preparing for future awards cycles.
