Job Description
Reporting Channel/Interactions:
- Reports directly to the Head of Department
- Cooperates closely with the entire Communication & External Relations team, as well as the Travel Office team at the GUC
- Provides functional assistance to GIU Staff & Students
- Interacts internally with all university departments and students
- Interacts externally with travel agencies, hotels, government officials as well as representatives from the German Embassy
Duties and Responsibilities:
- Handle trips’ planning and booking process
- Guides and supports staff and students in the acquisition of Travelling Visa
- Monitors offer regularly and constantly explore the best booking rates for flights and accommodation
- Support in the preparation and compilation of statistical reports
- Handle professionally all necessary correspondence for booking purposes
- Maintain strong relations with potential travel agencies and seek for best possible travel offers
- Contacts suitable hotels for Corporate Agreements and Credit Facility
- Handle all administrative tasks and inquiries related to proper documentation cycle and archiving
- Maintain a secure and an easy accessible the filing system
- Keep an up-to-date Travel Office database
- Handle any ad-hoc assigned duties related to the Communication & External Relations Office

Computer Skills:Word, Excel, PowerPoint, Internet and e-mail
- Needs to be very well-organized with multi-tasking skills
- Able to handle stress and high problem-solving ability
- Professional communication and negotiation ability
- Administrative Skills
Language Skills:
- Arabic – Fluent (Written & Spoken)
- English – Fluent (Written & spoken)
- German is an asset
