الوصف الوظيفي

The Secretary carries out various secretarial and administrative duties including answering telephone calls taking notes typing in Arabic and English 
Operational Duties & Responsibilities
Abides by the authorities granted to the position as per the delegation of authority structure and any formal changes thereto.
Takes minor work related decisions to reduce the duties of the immediate superior. 
Drafts letters from brief notes or oral instructions as required 
Handles all typing and correspondence for the assigned position in Arabic and English using personal computer (PC) form draft notes a variety of material such as memoranda reports circulars action forms contracts tender letters and minuets of meeting 
   obtains appropriate signatures and dispatches accordingly. 
Proofreads typed material and submits for review and signature of senior management.
Assists in PowerPoint Presentation development and formatting.  
Classifies and files storage for future reference
Creates backup for all materials as required to safeguard against loss.
Answers and transfer telephones calls as necessary receives and conveys messages sets up appointments answers general queries etc.
Carries out other duties such as making photocopies collating and binding of reports and operating a fax machine. maintaining a stock of department stationery acting as a controller over consumption of materials stationary etc
Assist other departments in preparing standard proposals and general typing.
Coordinate with travel agencies and hotels for the assigned positions travel requirement (family included).
Manage manual and computersystem filing and logs for all activities of the assigned position.
Communicate with all external contacts and coordinate meetings.
Translates documents between Arabic and English as required for internal and external communication.
Handles sensitive information with discretion and ensures the security of confidential documents.
Assists in the planning and coordination of meetings conferences and team events including logistics and agenda preparation.
Performs such duties as assigned from time to time


Qualifications :

Education/Experience Requirements
Secretarial diploma from a recognized institution or in addition to the following working experience;
Minimum of 5 10 years of related experience 

Specific Competency Skills;
As per standard competency requirements.
Arabic speaker
