Job opportunity Vertiv is looking for a new Office Administrator to join our dynamic team in Riyadh Kingdom of Saudi Arabia!

Who are we

This is an officebased role with occasional support for external events. Provides general office support with a variety of clerical activities and related tasks. The office administrator will be responsible for answering and directing incoming calls mail distribution the flow of correspondence requisition of supplies and officerelated items as well as additional clerical duties. Other responsibilities include making travel meeting arrangements and supporting the Regional Director as needed.

What kind of work will you be doing

  • Manage all officerelated matters such as office stock / kitchen supply/stationery maintenance meeting room booking arrangements for meetings training sessions or events.
  • Drafting and issuing official letters office announcements and other communications.
  • Negotiate hotel contract agreements and pricing.
  • Negotiate with local vendors and suppliers.
  • Assisting Stakeholders / employees requests.
  • Making payments for office monthly utility bills.
  • Supervise the office helper to ensure the office is tidy and well organized.
  • Welcome guests and visitors and ensure required attention is provided.
  • Key point of contact for the building management.
  • Desk preparation for new hires in collaboration with the IT Team (IT Hardware).
  • Answer any inquiry through phone/email and forward to the correct person.
  • Sends/Receives all shipments/deliveries from DHL/Aramex/any courier and distributes to respective parties.
  • Responsible for ordering food for meetings/trainings/events.
  • Ordering & editing the templates for employees Business Cards.
  • Hotel/Accommodation/Transportation and flight booking as requested for employees who cannot use selfservice or for all external visits as required.
  • Responsible for the management of all contracts related to the office operations.
  • Responsible for the office compliance with all local rules and regulations.
  • Handling medical group insurance; renewal addition deletion preparing employee census information (yearly).
  • Handling employees Life & Workmens Compensation; renewal addition deletion (yearly basis).
  • Monitoring daily attendance and preparing weekly/monthly.

What Would Be the Perfect Qualifications

Graduate in any discipline with 34 years of experience in office administration role.
