Role Overview
Project Analysts at Jolera work closely with project team members, managers, and stakeholders, assisting in the delivery of Professional Services projects of varying levels of complexity. They manage administrative tasks, such as documentation and information distribution, compiling report details, resourcing, project communications, and driving organizational aspects of a project.
Working closely with Project Managers, this role will ensure all administrative tasks are up to date, constantly multi-tasking across several projects at one time.
The ideal candidate will have significant experience supporting multiple Project Managers in a busy PMO environment.
What You'll do
- Plan, organize, and follow up on daily activities to ensure project deadlines are consistently met
- Organize and attend various stakeholder meetings
- Take meeting minutes and distribute them to participants
- Documenting and following up on important project actions and decisions from meetings
- Coordinate project resources
- Preparing project materials in partnership with project managers
- Collection of information for project updates
- Keeping all project notes up to date
- Performing billing tasks
- Participate in forecasting the probability of meeting milestone dates with project managers and senior management
- Create and follow up on Change and Procurement requests
- Proactively identify and escalate issues and risks that may impact project success
- Ensure internal systems are kept up to date with project status, enforcement of project time entries
- Provide administrative support for assigned projects as assigned
Who You Are?
- Minimum 3 years of direct IT specific project administration and/or coordination experience
- Experience supporting a minimum of 5 project managers at a time
- Experience managing priorities across multiple projects at the same time
- Exceptional ability to keep track of tasks, deadlines, progress
- Task and results driven, strong ability to multitask, with a heightened sense of urgency
- Knowledge and demonstrated experience in administrative procedures
- Ability to work in a fast paced environment with tight timelines
- Strong communication skills
- Excellent organizational and analytical skills
- Strong attention to detail
- Minimum intermediate level knowledge of MS Office tools including Excel, Word, PowerPoint, and some form of project management tool such as MS Project
- Experience in distributed deployment projects including hardware and software implementations across multiple sites, regions, and time zones
- Experience working in a collaborative environment, preferably for an IT consulting firm
- Ability to communicate effectively with team members and clients located globally with varying communication styles from a broad spectrum of disciplines
- Excellent verbal, written, and presentation skills
- Ability to work independently and as part of a team
- Knowledge and demonstrated experience in administrative procedures
- Ability to work in a fast paced environment with tight timelines
Working Conditions
- The position requires the incumbent to work remotely, requiring an environment that will allow for internal and client meetings at varying times of the workday
- Incumbents would be required to work from the Jolera office a minimum of three days per week if they are in a city with a Jolera office in place
