We are looking for an experienced Onboarding Manager to ensure a seamless highimpact onboarding experience for both the Executive Assistants and the Clients.

Role Overview

This role is critical in setting up the new Executive Assistants for success while ensuring the Clients experience immediate value and a smooth transition.Your ability to coach communicate and solve problems in real time will be key to creating strong highperforming EAclient relationships.

This fully remote role requires exceptional stakeholder management skills an understanding of executive support needs and a proactive approach to driving client success.

Key Responsibilities

1. Client & EA Onboarding Management

  • Lead structured daily checkins with the Clients and the Executive Assistants in the first 12 weeks ensuring alignment addressing concerns and facilitating a smooth start.
  • Guide Executive Assistants in quickly adapting to the Client workflows communication styles and business needs.
  • Act as a liaison between the Clients and the Executive Assistants ensuring both parties have clear expectations structured processes and a seamless working dynamic.
  • Set clear performance milestones and success metrics for onboarding effectiveness.

2. Client Success & Relationship Management

  • Ensure Clients experience immediate relief and efficiency improvements by proactively identifying and addressing early pain points.
  • Provide structured progress updates to Clients ensuring transparency and continuous alignment.
  • Gather Client feedback and refine onboarding strategies to improve the Executive Assistants performance and client satisfaction.
  • Troubleshoot misalignment or challenges and implement solutions to optimize the working relationship.

3. Coaching & Support for New Executive Assistants

  • Provide oneonone coaching and mentorship to Executive Assistants helping them build confidence and competence in their role.
  • Support Executive Assistants in adapting quickly to the highperformance demands of the Clients.
  • Offer realtime feedback training and best practices to optimize Executive Assistants performance.
  • Monitor progress and proactively identify areas where additional coaching or support is needed.
  • Maintain and refine onboarding playbooks clientEA integration guides and SOPs to ensure a consistent and highquality onboarding experience.

4. Training & Development

  • Continuously refine Bootcamp (training program) to equip Executive Assistants with the skills needed for highperformance executive support.
  • Identify and work with leadership to update training modules in line with evolving client expectations.

Qualifications

  • Strong client relationship management skills with experience in coaching onboarding or customer success roles in fast paced environments.
  • Proven ability to integrate Executive Assistants into fastpaced highstakes client environments.
  • Exceptional communication problemsolving and stakeholder management skills to ensure seamless collaboration.
  • Experience in training mentoring or developing talent in administrative or executive support roles.
  • High emotional intelligence (EQ) and adaptability to different client work styles and expectations.
  • Ability to juggle multiple onboarding processes resolve challenges in real time and drive both EA and client success.
