Job Description

POSITION OVERVIEW

We are seeking a highly organized and detailoriented Brokerage Coordinatorto provide critical support to our commercial tenant representation real estate brokers. This role requires exceptional administrative skills the ability to manage multiple tasks simultaneously and a proactive mindset to ensure seamless operations within the brokerage team. The Brokerage Coordinatorwill play a key role in supporting the transaction management team members organizing client interactions and deliverables and maintaining essential brokerage documentation.

RESPONSIBILITIES

Broker & Transaction Support

  • Conduct and manage contact searchesto support broker outreach for cold and warm calls. 
  • Assist the Transaction Management Team with:  
  • Client survey / relocation deliverables formatting 
  • Creating and updating tour booksfor client property tours. 
  • Printing and bindingmaterials as needed. 
  • Manage tour schedulingand coordinate logistics. 
  • Sanitize documents using Adobeto ensure compliance and confidentiality. 
  • Maintain and update legal documentsas needed. 
  • Coordinate signature collectionvia DocuSign. 

Financial & Administrative Support

  • Process expensesfor brokers and ensure timely submission. 
  • Manage ReApps(Streams internal invoicing system) for invoice processingand tracking. 
  • Track cash receivedand assist with accounts receivablemonitoring for commissions. 
  • Maintain accurate records of financial transactions and follow up on outstanding payments. 

Data & Document Management

  • Ensure stacking plansare formatted and updated with the latest market data. 
  • Maintain and manage teams CRM systemsto store and organize essential prospect/client contact information and new prospect meetings set by the team. 
  • Update necessary Stream legal documents for various transactions (NDAs commission agreements exclusive agreements). 

Client Engagement & Special Projects

  • Coordinate and organize client gifts and entertainmentto enhance relationships. 
  • Assist in preparing clientfacing presentations and materials. 

Qualifications :

  • Experience in an administrative or brokerage support role preferably in commercial real estate. 
  • Real Estate License or willingness to become licensed in the first 3 months of employment. 
  • Strong organizationaland time managementskills with the ability to prioritize tasks. 
  • Proficiency in Microsoft Office Suite (Excel Word PowerPoint Outlook). 
  • Experience with Adobe Acrobat DocuSign and CRM platformspreferred. 
  • Excellent attention to detailand ability to manage multiple projects at once. 
  • Strong written and verbal communication skills. 
  • Ability to work independently and in a fastpaced teamoriented environment.
