Job Summary:
Were seeking an experienced and highly organized Chief of Staff / Marketing Operations Manager to provide exceptional support to our team. As a key member of our operations team you will be responsible for managing multiple tasks including client communication calendar management project coordination and data analysis. The ideal candidate will have a strong background in marketing operations excellent communication skills and experience with project management tools like Notion Monday.com and Google Suite.
Core Tasks:
Monitor multiple inboxes to triage and respond to client questions and concerns
Perform ad hoc payment invoice management file management etc
Manage a calendar including scheduling meetings and travel arrangements
Serve as a contact between employees clients and external partners
Prepare/ edit correspondence communications presentations reports and other docs
Coordinate meetings set agendas take minutes and prepare follow ups / action items
Perform other adhoc tasks with limited instruction as needed
Assist with project mgmt and time tracking (track deadlines/ milestones and coordinate to ensure success
Perform competitor and product research and produce written reports
Hold interviews and other side by sides and collate notes for easy digestion
Assist with personal tasks as needed
Create SOPs as needed
Requirements
MustHaves:
5 years experience in paid media lifecycle or product marketing / research (ecommerce or startup environment preferred)
Exceptional verbal and written communication skills
2 years experience with project managementrelated tasks and tools
Intermediate skills with Google Suite (Sheets Docs Slides)
Strong organizational and planning skills
Excellent time management skills and ability to multitask and prioritize
Background with Notion and Monday.com for project management (or similar tools)
Familiarity with Slack and Zoom for internal team coordination / communication
Ability to work EST
NicetoHaves:
Hands on experience as a Chief of Staff in an agency setting
MBA or other higher education preferably from a North American university
Experience using Zapier and Quickbooks
Event planning experience (organizing corporate events conferences workshops etc)
Must-Haves: 3+ years of experience in brand management, P&L management, marketing, or an analytical function, preferably at a start-up or other fast-paced environment. 3+ years of e-commerce experience, preferably working within the Amazon ecosystem. Ability to dig through data, draw conclusions and make recommendations. Excellent written and verbal communication skills, a high level of organization, and impeccable attention to detail. Ability to handle aggressive deadlines and prioritize work in a fast-paced, often ambiguous environment with fire drills coming up on a near-daily basis. A highly analytical self-starter who can manage multiple projects and figure out complex problems without a lot of oversight. Demonstrated ability to create engaging content, come up with creative ideas, and think outside the box. Positive attitude, reliable, transparent and enjoy working with different types of people. Strong proficiency in excel. Proven negotiating skills, influencing abilities, and relationship or account management experience Ability to communicate effectively at all levels of an organization
