Role purpose
To serve as a link between employees and management on HSE aspects in the workplace
To coordinate manage support execute and monitor HSE performance programs CoPs Guidelines and Processes to ensure health safety and compliance in the workplace
To provide effective and responsive administration and coordination support of the organizations fleet (Company cars pool vehicles and private vehicles for eligible employees)
To perform all the necessary HSE activities for the fleet as well as the head office
Accountabilities
Support implementation and compliance of legal requirements such as the OHS Act
Support implementation and compliance with Syngenta HSE Policy CoPs and Guidelines
Provide advice to management on HSE matters
To carry out validation of HSE Management System requirements identify gaps and implement and drive action plans
Support and drive the HSE Objectives
Create awareness on and drive HSE Initiatives
Perform and participate in Risk Assessments and mitigation actions
Coordinate and support H&S training: scheduling conducting and records maintained
To ensure Induction training is done for all employees visitors and contract workers
Drive coordinate report and follow up on H&S Observations
Ensure that all incidents are reported documented investigated and recommended improvements implemented as well as monthly HSE statistical reporting
Promote and implement actions necessary to ensure HSE cultural behavioural improvement
Support HSE AME Lead on any other reasonable duties which may be required
Fleet administration
Coordinate with the vehicle financing service provider on Company car leases and Pool vehicles in consultation with procurement and Finance department
Ensure compliance with the PPM Capex approval process
Ensures all eligible vehicles (Company car pool vehicle and eligible private vehicles) are always fully compliant with the Road Traffic Act
Ensure license renewals and roadworthy are done for company vehicles and trailers
Maintain accurate records of vehicles and drivers information
Manage insurance claims process i.e. assist with lodging claims gathering necessary information and following up on outcome or payment
Liaise with HR to ensure data accuracy of vehicle for insurance purpose and proper coordination of the onboarding and exit process of employees
Must be appointed as Company proxy and representative
Implement and maintain Vehicle Policy
Communicate and create awareness on Driving Safety Golden Rules
Coordinate the training for employees driving on company business
Ensure vehicles used for driving on company business complies with the minimum safety requirements defined in the Driving Safety Specifications
Implement and maintain a process to ensure that all vehicles used for driving on company business are maintained in accordance with the manufacturers recommendations
Implement and maintain an authorization process for all employees operating company vehicles or driving on Syngenta business
Ensure all eligible vehicles on the vehicle benefit scheme are installed with the vehicle monitoring device (Telematics) and a vehicle tracking device (Tracker)
Assist Line Managers with identifying and managing potentially dangerous driving behaviours and driver related risks
Provide necessary support during incident investigation process
Ensure all eligible vehicles are insured and registered for AA membership
Ensure all eligible vehicles are issued with a fuel card etag and HSE standard required emergency kits
Assist employees with emergency accident claims and vehicle hire process
Analyse the monthly fuel consumption report and flag any unusual occurrence to the responsible line manager
Internal monthly reporting including kilometres driven & vehicle incidents
Annual review of eligible vehicles ensure compliance with minimum vehicle HSE requirements
Provide and drive safe driving awareness /campaign to ensure minimum or zero vehicle related incidents
Qualifications :
Knowledge Experience & Capabilities
Critical qualifications
OHSAct and or Samtrac and or NEBOSH and or HSE qualification
Bachelors degree in Logistics Management/ Fleet Management qualification or equivalent
Minimum 2 years experience in similar role
Proficiency in MS Office package
Experience in a multinational organisation advantage
