Parttime (25h/week)
We are seeking a professional qualified and enthusiastic Coordinator Office Management (m/f/d) to provide support to our corporate headquarters in Zug Switzerland.
The ideal candidate will have a quick mind the ability to juggle multiple tasks and act as the voice and face of the company.
The scope of responsibilities will include:
- Ensure smooth running of the daytoday office activities making sure that our customers colleagues suppliers and visitors receive the highest level of service
- Manage office suppliers/vendors (contract negotiations and management quality control)
- Coordinate the purchase of office supplies
- Coordinate with IT Infrastructure services on all office equipment
- Provide business trip support (hotels flights booking supportive business trips documentation and reporting to Accounting)
- Receive and route financial documents from suppliers
- Organize office meetings and events
- Prepare and maintain various administrative reports including monthly expense reports of credit card and cash expenses
- Prepare documents for signature
Qualifications :
- Commercial apprenticeship or equivalent qualification
- Administrative experience
- Prior experience in an international company is a plus
- Prior experience with facility management is a plus
- Organizational talent quick comprehension initiative and creativity
- Efficient time management skills and able to prioritize tasks effectively
- Confident and sound knowledge of MS Office
- Very good knowledge of English and German
