Job Description
Key Responsibilities:
- Invoice Preparation:
- Prepare and generate accurate invoices for products and services rendered ensuring that all details match client orders and contracts.
- Ensure all billing information is correctly documented including quantities prices taxes and applicable discounts.
- Monitor and verify all billing entries ensuring that they comply with contractual agreements and company policies.
- Customer Account Management:
- Maintain and update customer account details to ensure correct billing and invoicing.
- Assist customers with any billingrelated inquiries or concerns including providing clarifications on invoices and resolving disputes.
- Billing Records Maintenance:
- Maintain organized and uptodate records of all invoices issued and payments received.
- Ensure that all invoices are sent promptly and accurately to customers via email or other delivery methods.
- Payment Followup and Reconciliation:
- Follow up on overdue payments and send reminders to clients.
- Reconcile accounts by ensuring payments are received and matched against corresponding invoices.
- Liaise with the finance department to resolve discrepancies and ensure smooth payment processing.
- Data Entry and Reporting:
- Accurately input data related to billing into the companys accounting system (e.g. ERP software).
- Generate regular reports on outstanding invoices and payment status.
- Compliance and Accuracy:
- Ensure compliance with relevant legal and regulatory requirements in the invoicing process.
- Verify the correctness of tax rates payment terms and discounts as per contracts and agreements.
