Duties and Responsibilities:
Client Interaction Management - Attend all client calls take detailed notes identify action items and update them in Airtable.
- Ensure all action items are tracked and followed up in a timely manner.
- Monitor client communications across platforms (e.g. WhatsApp email slack) to identify unanswered messages or pending requests.
- Track client requests in Airtable and follow up after appropriate preagreed time intervals to ensure responses are received.
Document Management - Save all client documents in the designated Google Drive folders maintaining organised and easily accessible records for other team members.
- Ensure proper naming conventions and categorization of files for streamlined access.
Administrative Support - Draft and send out service agreements to clients.
- Generate and send Stripe payment links to clients for services rendered.
Project / Task Management - Take ownership of the client Airtable ensuring it is working as effectively as possible
- Liaise with the Airtable specialist to make improvements or tweaks based on feedback from the team to make the system as effective as possible for our needs.
- Ensure client tasks are being completed by team members according to the set deadlines.
- Ensure pending requests are prioritised accordingly by team members.
- Communicate & work with other team members to ensure they understand clearly what they need to do & by when.
Process Improvement - Suggest and implement improvements to client management and administrative workflows to increase efficiency.
Minimum Requirements: Experience: - Previous experience in an executive assistant role preferably in a professional services environment such as accounting finance or consulting.
Technical Skills: - Proficiency in Airtable Google Workspace (Docs Sheets Drive) and communication platforms like WhatsApp.
- Familiarity with payment platforms such as Stripe is a plus.
Soft Skills: - Excellent organisational and multitasking skills.
- Strong written and verbal communication abilities.
- High level of attention to detail and accuracy.
- Ability to work independently and take initiative.
