Job Description

Responsible for all administrative functions of the department: calendar management scheduling travel managing correspondence processing expense reports meeting/event planning creating or modifying business documents preparing presentations from source materials handling teleconference and iPhone setups acting as a liaison for remote access issues.

  • Provides general administrative support to five department Directors. May provide periodic back up support to higherlevel management as needed.
  • Responsible for compliance with applicable Corporate and Divisional Policies and procedures. Follows purchasing and requisition procedures Corporate Security and Privacy Rules Corporate Branding Guidelines and Copy Center procedures (if applicable).
  • Makes travel arrangements creates itineraries tracks travel plans for anticipated issues organizes travel schedules and organizes and processes expense reports per company policy.
  • Timely and accurate completion of expense reports as assigned.
  • Interacts with highlevel executives and handles confidential or businesssensitive information.
  • Coordinates and maintains departmental files as assigned in compliance with corporate and government regulations.
  • Orders miscellaneous supplies as requested.
  • Uses and understands Microsoft Office Suite and other businessspecific software including the Corporate Travel Web site and employee performance management systems (as applicable).
  • Coordinate new employees and/or contractors office setups onboarding and offboarding.
  • Support preparation for all MABI meetings and individual department meetings including coordinating meal planning conference room setup etc.
  • May train/coordinate work for new administrative assistants.
  • May include some support for tracking budget expenditures.
  • Operates with general instruction and some supervision.

Qualifications :

  • High School diploma or equivalent. Some college preferred.
  • 3 years previous admin experience or equivalent.
  • Prior meeting planning experience preferred.
  • Uses and understands Microsoft Office suite and understands virtual meeting technology.
  • Selfstarter and able to function at a high level with general instructions.
  • Learns quickly and is flexible to change course quickly when needed.
  • Builds strong relationships with peers and crossfunctionally team oriented and cando attitude to be a proactive contributor to the organization.
  • Strong written communication skills able to interact with internal and external colleagues clearly and concisely.
  • Professional demeanor and able to maintain confidentiality.

  • The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location and we may ultimately pay more or less than the posted range. This range may be modified in the future.

  • This job is eligible to participate in our shortterm incentive programs.
