Executive Assistant to the CEO

Position Overview
We are seeking a highly motivated and detailoriented Executive Assistant to the CEO to join our growing eCommerce startup specializing in oil diffusers.
The ideal candidate will be based in Miami have the flexibility to be oncall when needed and excel at supporting the CEO by managing daytoday administrative and operational tasks.
Key Responsibilities
Executive Assistant to the CEO:
- Manage the CEO s calendar scheduling and appointments ensuring meetings are wellprepared and time is optimized.
- Monitor and organize the CEO s email inbox flagging critical communications and drafting responses as needed.
- Coordinate interdepartmental meetings and ensure communication flows smoothly across teams.
- Run errands and attend to personal or professional tasks on behalf of the CEO.
- Prepare presentations agendas and materials for meetings.
Requirements
Qualifications and Skills
- High school diploma or GED is required (preferred Associates Degree)
- At least 3 years of experience as an Executive Assistant
- Bilingual fluency in Spanish and English is highly desirable with required proficiency in reading writing and speaking English.
- Authorization to work in the United States is mandatory.
- Candidates must reside in the Miami area and willing to go to our Doral office during the week.
- Must have reliable transportation.
- Extremely organized with exceptional attention to detail and the ability to multitask.
- Strong communication skills and professionalism in handling confidential information.
- Proactive problemsolver who is resourceful and adaptable.
- Demonstrated ability to work effectively both independently and as part of a team.
- Proficiency in Microsoft Office Suite and familiarity with marketing tools and analytics software.
