Job Description

Job Title: Local Support Assistant

Location: Regus Carso Miguel de Cervantes Saavedra 301 Torre Sur Piso 14 Col. Granada Ciudad de Mxico CP. 11520

Schedule: Flexible based on prescheduled appointments (Monday to Friday)

Duration: Halfday (4 hours or less) or Fullday (4 to 8 hours)

About Us:

We are an innovative company looking for a dedicated and motivated Local Support Assistant in Mexico City. The ideal candidate will help us ensure smooth operations at our office by handling various tasks on an asneeded basis. This role offers flexibility with tasks being scheduled in advance based on office requirements and is not a fullweek commitment.

Job Overview:

The Local Support Assistant will be responsible for assisting with office operations including managing shipments inventory device maintenance and troubleshooting basic technical issues. The position is not a fulltime weeklong role. Instead the assistant will be scheduled for specific tasks throughout the week with clear communication about the time and duration of each appointment in advance.

Tasks

Key Responsibilities:

1 Shipment Assistance:

  • Assist with the preparation of shipments to and from the office including packing organizing and ensuring proper documentation.
  • Review incoming and outgoing shipments ensuring timely delivery and following up with delivery companies.
  • Reach out to carriers (DHL FedEx etc.) to confirm shipment statuses and resolve any delivery issues.

2 Inventory Management:

  • Perform regular inventory checks to ensure the office is stocked with necessary supplies.
  • Maintain accurate inventory records and update them as needed.
  • Report any discrepancies or low stock levels to the relevant team members.

3 Device Maintenance & Technical Support:

  • Check on installed devices in the office ensuring they are functioning properly.
  • Assist with the installation of new devices ensuring correct setup and configuration.
  • Troubleshoot basic technical issues such as checking internet connectivity or ensuring devices are properly plugged in.
  • Ensure all devices are working within the offices IT infrastructure.

4 General Office Assistance:

  • Provide support for various tasks as needed such as organizing the office filing documents or preparing for meetings.
  • Maintain a clean and organized workspace.
  • Assist other team members as required ensuring overall office efficiency.

5 Communication:

  • Maintain clear communication with internal teams regarding the status of shipments inventory and technical issues.
  • Coordinate with external service providers (e.g. couriers technical support) to resolve issues and ensure tasks are completed efficiently.

Requirements

Requirements:

  • Energetic & Motivated: Must be proactive and able to take initiative when handling tasks and resolving issues.
  • DetailOriented: Must have an eye for detail when managing shipments performing inventory checks and troubleshooting technical issues.
  • Flexible Availability: The role is based on prescheduled appointments during the week and the candidate must be available for specific tasks on days notified in advance (Monday to Friday).
  • Proximity to Office: The candidate should ideally live close to the office to minimize commute time.
  • Technical Skills: Basic technical knowledge including the ability to troubleshoot minor device issues and check internet connectivity.
  • Communication Skills: Strong verbal and written communication skills are essential for interacting with both internal team members and external service providers.
  • Experience: Previous experience in administrative support logistics or technical roles is a plus but not required.

  • Proactive and able to work independently with minimal supervision.
  • Comfortable with flexible work schedules and capable of adjusting to different tasks as they arise.
  • Strong organizational skills and the ability to multitask effectively.
