Job Description

The Failsafe Officer is responsible for ensuring that all patients eligible for Diabetic Eye Screening are invited to attend their appointments; that patients movements can  be tracked through the care pathway and any concerns or omissions are escalated. This will  require ensuring that policies and procedures are in place and regularly audited for  compliance. This will be achieved by ongoing data audits list validations and liaising with  multiple stakeholders. 

Main responsibilities:

In conjunction with the Senior Administrator Team Leaders Programme Manager Clinical  Lead and National Screening Service to be responsible for quality assurance audits  highlighting areas for improvement and implementing change.   

  • Importing new patients (AREQ imports) and new patient information (OPTE  imports) onto the OptoMize database. Sending weekly reports on these imports to the NSS.  
  • Checking that data exported to the NSS (OPTI exports) is formatted correctly and  liaising with management the NSS and OptoMize Support if there are any issues  with the export files.  
  • Overseeing updates to newly registered patients files and auditing new patients  periodically to ensure that they are not overlooked for new appointments.  
  • Monitoring Moved out of Area (MOA) patients that are exported to the other DRS  provider and checking patients moved into our service area from the other DRS  provider. Sending weekly reports to the NSS regarding these MOA patients.  
  • Provide support for management by compiling the Daily Update report  
  • Auditing of certain grading outcomes chosen by ophthalmologists to ensure that  they comply with current Grading Protocols. Contacting Management OptoMize  Support and ophthalmologists regarding incorrect grades.  
  • Overseeing changes to ophthalmology referrals by auditing discharge and  Treatment Centre changes checking admin emails and communicating with  Treatment Centres and the NSS Treatment Centre Coordinator regarding changes  to referrals.  
  • Performing manual moves to ophthalmology especially in the case of patients  who cannot be screened for medical reasons reporting these patients to the NSS  and issuing results to the patients their GPs and the referrals to the Treatment  Centres.  
  • Maintaining an accurate list of Clinicians and their addresses on OptoMize and  overseeing changes to clinicians that would affect multiple patients.  
  • Auditing current patient states and ensuring that certain unconfirmed states are  regularly updated.
  • Maintenance of SOPs related to the Failsafe Role and updating the SOPs annually  or as required.  
  • May be required to provide basic administrative support to the local DRS team  (taking phone calls answering admin emails posting letters)

Qualifications :

  • Knowledge of diabetes and diabetic retinopathy  
  • Understanding of the Standards for Quality Assurance in DRS and KPIs set by the  National Screening Service  
  • Detailed knowledge of the OptoMize screening software and failsafe processes to  ensure patients safety.   
  • Excellent organisational and administrative skills with the ability to manage  projects.  
  • Ability to work without close supervision and be able to prioritise own workload  against competing priorities.  
  • Ability to work successfully across professional organisations and with a  multitude of stakeholders.  
  • Ability to analyse data and generate reports (e.g. use of excel spreadsheets)   
  • Excellent verbal and written communications skills.  
  • Ability to maintain effectiveness under pressure  
  • Flexible and able to adapt to constantly changing situations and environments  and using a variety of approaches to secure support for ideas strategies and  values.  
  • Minimum Leaving Certificate or equivalent qualification.   
  • Evidence of continued professional development (CPD)

  • A full clean Irish driving licence is essential.
