Position Summary:

Our esteemed client is a leading FitOut & TurnKey Contracting Firm that is renowned for its expertise in the construction & fitout field for its Quality Timeliness & Attention to Detail. We are looking for an Executive Secretary to provide highlevel administrative support to the executive team ensuring smooth office operations and assisting in the management of key business activities. This role involves handling confidential information managing schedules preparing reports and coordinating communications between senior management staff and external stakeholders.


Key Responsibilities:
  • Responsible for incoming and outgoing correspondence including emails phone calls and mail ensuring timely and accurate responses.
  • Draft edited and proofread documents reports and communication materials maintaining uptodate prequalification documents and certificates.
  • Coordinate trade license renewals including documentation preparation regulatory compliance and record maintenance.
  • Facilitate procurement processes preparing quotations LPOs inquiries HSE documents and responding to RFIs RFQs and tender invitations.
  • Maintain employee records and processed new hire paperwork contributing to a seamless onboarding experience.

Key Qualifications and Skills:

  • Degree in business administration or relative field
  • Must have at least 3 years of experience as an Executive secretary
  • Proficient in Microsoft Office Suite and other relevant software
  • Excellent organizational and time management skills
  • Excellent spoken and written communication and interpersonal skills
  • Ability to handle sensitive and confidential information with discretion
