Job Description

Position: Law Firm Administrator

Location: Louisiana

Duration: Fulltime

Salary: DOE

Description:

The Law Firm Administrator is a key leadership role within the firm responsible for driving the operational efficiency of the nonlegal side of the business. Reporting directly to the Principal/CEO the administrator will oversee daytoday operations enhance organizational culture and manage administrative functions. The ideal candidate will possess strong leadership skills and a deep understanding of legal operations working closely with senior leadership to develop strategies for firm growth and success.

Qualifications:

Education/Certification:

  • High school diploma required; bachelors degree preferred.
  • Certified Legal Manager (CLM) is strongly preferred.

Experience:

  • 7 years of experience in law firm administration or law office operations.
  • 3 years of supervisory experience with a legal staff of 10 employees.
  • 3 years of HR experience including recruiting and hiring.
  • Experience managing a business budget of $5 million or more.
  • Experience in small to midsize organizations.
  • Experience managing in remotefirst environments.

Knowledge/Skills:

  • Strong leadership and team motivation skills.
  • Ability to manage conflict and build trusting relationships.
  • Excellent project management skills managing multiple projects and priorities.
  • Strong understanding of legal office procedures terminology and document management systems.
  • Acts with integrity and professionalism maintaining confidentiality.
  • Ability to adapt to new technologies and systems.
  • Exceptional organizational proofreading and attentiontodetail skills.
  • Strong communication skills with a clientservice mindset.
  • Proficiency in Microsoft Office Suite.
  • Fluency in English (speaking reading and writing).

Essential Functions:

Leadership and Strategic Planning:

  • Foster a culture based on company values.
  • Supervise and lead a team of nonattorney staff including recruitment training performance management and termination.
  • Provide coaching mentorship and leadership to ensure company and client goals are met.
  • Collaborate with the CEO and leadership team on strategic initiatives that align with the firms goals.
  • Lead organizational change initiatives ensuring integration of new processes technologies and systems.
  • Act as a liaison between departments to enhance communication and streamline workflows.
  • Collaborate with the CFO on financial oversight budget forecasting and costbenefit analysis.

Operations:

  • Optimize firmwide operations by developing scalable systems and processes.
  • Manage risk and compliance strategies ensuring operations meet legal and regulatory standards.
  • Oversee technology strategy ensuring innovation and system effectiveness.
  • Manage daytoday administration workflow management case support and general business operations.
  • Collaborate directly with the Managing Attorney on case management to ensure timely and efficient work.
  • Develop and manage Key Performance Indicators (KPIs).
  • Oversee vendor management and support operational needs for technology office administration and marketing.
  • Oversee the Potential New Client (PNC) process ensuring efficiency and positive client experience.
  • Manage firm calendar to ensure seamless scheduling and task completion.

Human Resources:

  • Oversee talent management strategy aligning recruitment retention and professional development with firm goals.
  • Drive initiatives to enhance employee engagement retention and productivity.
  • Administer payroll benefits and compliance with HR regulations.
  • Manage fullcycle recruiting for nonattorney staff and support attorney recruitment.
  • Oversee onboarding and offboarding for all employees and independent contractors.
  • Ensure compliance with state and local regulations and maintain required personnel documentation.
  • Manage attorney and paraprofessional continuing education and certifications in line with Bar regulations.
