Job Description

This is a remote position.

Schedule: Monday to Friday
9AM to 6PM North Bergen NJ Time
with 1 hour unpaid break

Overview:
The Remote Bookkeeper will oversee key financial and administrative operations for Hearth ensuring accurate bookkeeping accounts receivable collections customer service and efficient invoicing. This individual will be responsible for daily financial tasks customer communications and maintaining Hearth s financial health.

Responsibilities:

  • Accounts Receivable (AR) Management:
    • Follow up on unpaid invoices with a focus on collecting $100000 in outstanding AR.
    • Communicate with customers via phone and email to ensure timely payment.
    • Apply customer payments (checks credit cards etc.) in the system.
  • Invoicing:
    • Process daily invoices for Hearth ensuring accuracy and timely delivery.
    • Manage invoicing on thirdparty platforms as required by customers.
  • Customer Communication:
    • Answer incoming calls and emails for Hearth booking work orders and addressing inquiries.
    • Coordinate with the technician to schedule service calls and communicate updates to customers.
    • Call past customers to win back their business.
  • Bookkeeping Tasks:
    • Perform bank reconciliations and ensure all transactions are recorded accurately.
    • Pay bills for Hearth including parts vendors (e.g. Encompass Partstown) and other expenses like insurance and credit card payments.


Requirements

Qualifications:

  • Experience in bookkeeping or AR management (minimum 2 years).
  • Familiarity with invoicing and payment application processes.
  • Strong communication skills for customer service and collections.
  • Ability to work independently in a remote environment.
  • Experience with accounting software (e.g. QuickBooks Odoo) is a plus.
