Job Overview:
We are looking for a highly organized Property Management Assistant to support both ShortTerm Rentals (STR) and LongTerm Rentals (LTR). The ideal candidate will manage guest and tenant communications oversee bookings coordinate maintenance and ensure smooth rental operations.
Key Responsibilities:
Guest & Tenant Communications Handle inquiries reservations tenant concerns and leaserelated tasks.
Tenant Screening & Onboarding Conduct screenings assist with lease agreements manage Rhino insurance invites and rent increases.
Booking & Vacancy Management Maintain accurate listings across multiple platforms (e.g. HostAway Doorloop Airbnb VRBO Booking.com) and optimize occupancy.
Maintenance & Upkeep Coordinate property maintenance inspections and vendorscheduled repairs.
Utility Management Handle activation deactivation and payments of utilities.
Daily STR Oversight Address shortterm rental issues proactively to ensure an excellent guest experience.
KPI & Performance Tracking Update KPI spreadsheets weekly to monitor rental performance.
Refund & Payment Processing Manage STR refund requests and monitor Stripe payments for accuracy.
Review Monitoring Track guest reviews and take proactive steps to improve ratings and guest satisfaction.
Skills & Qualifications:
Strong Communication & Customer Service Excellent verbal and written skills for handling guest/tenant inquiries lease agreements issue resolution and ensuring a seamless rental experience.
Property Management & Rental Operations Expertise Experience in property management hospitality or rental operations including tenant screening Rhino insurance invites rent increases and lease management for LTR.
Software & Platform Proficiency Handson experience with HostAway Doorloop Airbnb VRBO Booking.com and Stripe for managing listings reservations payments and refund processing.
Organization & Multitasking Ability to efficiently handle multiple tasks such as booking management maintenance coordination utility payments and KPI tracking to optimize rental performance.
ProblemSolving & Conflict Resolution Strong analytical skills to address tenant disputes STR concerns maintenance issues and financial transactions effectively.
Financial & Payment Processing Knowledge of rent collection Stripe payment monitoring and refund processing to ensure smooth financial operations.
Marketing & Listing Optimization Understanding of Airbnb VRBO and Booking.com to create welloptimized property listings and reduce vacancies. Social media and marketing knowledge is a plus.
Data & Performance Analysis Ability to update KPI spreadsheets and analyze rental performance to drive revenue growth.
Technical Adaptability Comfortable navigating property management tools online booking platforms and digital payment systems.
Attention to Detail Ensure accurate and appealing property listings across multiple booking platforms for maximum visibility and engagement.
Technical Requirements:
Desktop/Laptop: Intel Core i5 or higher (or equivalent) with minimum 4GB RAM (8GB recommended).
Internet Connection: Minimum speed of 10Mbps for smooth operations.
Work Schedule:
Fulltime (40 hours/week)
Thursday Monday 10:30 AM 7:30 PM (Pacific Time)
