Job Description

Position Overview
Our client is seeking a highly organized proactive and resourceful Personal Assistant to support the dynamic Director of a prestigious law firm. This role is ideal for a motivated individual who excels in managing both professional and personal affairs with precision and discretion. The ideal candidate will thrive in a fastpaced environment possess exceptional problemsolving skills and demonstrate the ability to think on their feet.


Job Type: Full Time

Location: Cape Town

Workplace: Onsite


Requirements

  • Minimum 5 years in a similar role preferably in a law firm or professional services environment.
  • Bachelors degree or relevant qualification preferred.
  • Proficiency in MS Office Suite financial software and legal research tools.
  • Excellent timemanagement and organizational skills.
  • Strong interpersonal and communication skills.
  • Independent with the ability to anticipate needs and act decisively.
  • Problem solver with a creative and resourceful approach.
  • Discreet trustworthy and able to handle sensitive information.
  • Willingness to travel as required both locally and internationally.
  • Multilingual capabilities are a plus.


Responsibilities


Professional Support:

  • Manage and coordinate the Directors calendar including scheduling meetings appointments and travel arrangements.
  • Handle correspondence including emails letters and phone calls ensuring timely and appropriate responses.
  • Prepare proofread and organize legal documents reports and presentations.
  • Maintain and manage confidential client files and records.
  • Conduct legal and businessrelated research as needed.
  • Liaise with clients attorneys and other stakeholders on behalf of the Director.
  • Assist in the preparation and submission of compliance and regulatory documents.


Personal Support:

  • Coordinate personal appointments household tasks and private events.
  • Book travel accommodations and itinerary planning for personal trips.
  • Manage household budgets oversee domestic staff and arrange services or repairs.
  • Reconcile receipts handle petty cash and maintain financial records for personal expenses.

Administrative Tasks:

  • Manage office supplies and maintain organizational systems.
  • Oversee bookkeeping including invoice management receipt reconciliation and expense tracking.
  • Coordinate special projects or events both professional and personal.
