Employment Contract Management:
Draft prepare and review employment contracts on Qiwa Platform for new hires renewals and amendments in accordance with BMC policies and Gov. legal requirements.
Ensure all contract terms including salaries benefits roles and employee information is accurate & align with institutional standards and employment agreements.
Ensure all contracts comply with local labor laws educational sector regulations and institutional policies.
Collaborate with legal counsel and HR Manager to address contractrelated compliance issues.
Coordinate with personnel supervisor HR team and payroll to ensure timely preparation and execution of contracts.
Act as a point of contact for employees regarding contractrelated queries clarifications and resolutions.
Maintain a secure and organized database of employment contracts including signed agreements amendments and renewal schedules on monthly bases.
Maintain accurate employment contracts records in HRIS & Qiwa and monitor contract s expiration dates.
Conduct regular audits to ensure the accuracy and completeness of contract records.
Assist in developing and updating contract templates policies and procedures to align with organizational goals and regulatory changes.
Provide recommendations to improve contract management processes and system.
Facilitate discussions and negotiations regarding contract terms and conditions with employees to assure meeting the required approvals.
Support HR in addressing grievances or disputes related to employment contracts.
Manage & Prepare Monthly Contract Renewal Report ensuring timely renewals.
Analyze trends in contract management to identify areas for improvement and ensure efficiency.
Qiwa Contracts Management:
Review Qiwa online contracts on continues bases & make sure its aligning with employment status of employees.
Create contracts on (Qiwa) maintain employee approval on approved legal contract format.
Manage employment contract separation in Qiwa ( ending /termination / Resignation)
Make sure that all active employees are verified in Qiwa on continues bases.
Update any new Labor law articles in Qiwa contract if provided & maintain approval by HRM & Legal affairs.
Upload the new contracts of Qiwa in HR ERP System and keep signed hard copy in employee file .
Provide end approved results to Personnel supervisor Gov. Relations Officer to maintain needed Updates in ERP & GOSI.
Other Duties & Special Assignments:
Maintain complete signatures on official documents whenever needed & if missing.
Maintains strict confidentiality at all times.
Coordinate other related duties assigned by HRM/or Personnel Supervisor.
Restrict public access and use of documents ensuring that only authorized personnel have access to the filed documents/ materials.
Perform other job related duties assigned by HOD.
Qualification/Certification:
Bachelor Degree in Management of Human Resources/ or Business Administration.
Professional HR Certifications such as SHRM CIPD PHRI is highly preferable.
Experience:
Minimum two years of experience in Human resources & Contracts management.
Strong Legal background in Saudi Labor Law & governmental requirements.
Knowledge/Skills/Abilities:
Attention to details: Ensure accuracy & completeness of data identify discrepancies & correct errors.
Organizational skills: Manages multiple tasks & prioritize efficiently.
Communication skills : Effectively communicate with team employees & team members.
Integrity & confidentiality : Handles sensitive employee information with discretion ensuring confidentiality & compliance with confidentiality policy.
Technological Proficiency : proficient in using HR ERP systems.
Time Management: Managing time effectively to Meets deadlines.
