We’re seeking a proactive and detail-oriented professional to manage RX’s day-to-day Staff Travel operations. This role involves supervising agents, coordinating travel for corporate events, and ensuring the effective use of our seat inventory.
You will collaborate with key stakeholders, analyse travel data, and implement innovative solutions to optimise employee travel experiences, whilst maintaining cost-efficiency.
In this role, you’ll develop and oversee staff travel strategies, deliver training, and ensure seamless communication between employees, departments, and external travel agents.
Your ability to monitor performance metrics and provide technical input in projects impacting staff travel will contribute to RX’s success towards fostering an efficient and cost-effective travel program.
About You
Degree qualified, you will demonstrate a minimum of 4 years of sound experience within the travel industry (ideally in reservations, call centers, revenue management, or airport operations).
You have knowledge of traditional ticketing processes, staff travel policies, and cost management, with the ability to coordinate trips, find alternatives, and challenge costs when necessary.

Travel Planning and Coordination:
Research and recommend travel options, including flights, hotels, transportation, and car rentals, based on the organization's policies and preferences.
Plan and arrange itineraries for business trips, ensuring all travel is organized well in advance.
Manage corporate travel policies, ensuring all bookings adhere to company guidelines and budgets.
Book travel accommodations, including flights, hotels, and ground transportation, and confirm all reservations.
Booking and Reservations:
Handle booking of travel tickets for employees, ensuring cost-effective solutions and adherence to company guidelines.
Communicate with airlines, hotels, and travel service providers to confirm bookings and resolve any issues.
Organize visa requirements, permits, and other travel documents for international trips.
Post-Travel Activities:
Handle travel expense reports and reimbursements, ensuring they align with company policies.
Gather feedback from travelers to assess and improve future travel arrangements and processes.
Experience: Previous experience in travel coordination or in the hospitality industry is highly beneficial. Experience in handling business travel and managing corporate travel policies is an advantage.
Attention to Detail: Strong organizational skills and the ability to manage multiple travel arrangements simultaneously, paying attention to each detail to avoid issues.
Communication Skills: Excellent verbal and written communication skills to liaise with employees, travel vendors, and stakeholders effectively.
Time Management: Ability to handle tight deadlines and manage last-minute changes or requests.
Problem-Solving Ability: Ability to handle unforeseen issues, such as delays, cancellations, and travel disruptions, and resolve them quickly.
Computer and Technology Skills: Proficiency in using travel booking systems, Microsoft Office (Excel, Word, etc.), and possibly other specialized travel management software.
Customer Service Orientation: Must be able to provide a high level of service to employees, responding quickly to their needs and ensuring their travel experience is hassle-free.
Knowledge of Travel Industry: Familiarity with airlines, hotels, and car rental services, as well as visa requirements, is crucial for managing international travel.
