What you will be doing:

  • Process tax organizers and tax engagement letters
  • Initiate new tax preparation matters and assist with client onboarding in accordance with established procedures
  • Gather initial information and documentation from clients to begin the tax preparation process
  • Maintain a client tracking system for taxrelated matters and documents
  • Ensure that tax tasks are prioritized based on deadlines and client needs
  • Ensure confidential documents are securely shredded in accordance with company policies and procedures
  • Sort distribute and process incoming and outgoing mail and packages accurately and in a timely manner
  • Scan and digitize documents as needed maintaining organized electronic records
  • Welcome visitors to the office with a professional and friendly demeanor ensuring they feel comfortable and attended to
  • Handle incoming calls promptly and professionally directing them to the appropriate personnel or taking messages as needed
  • Collaborate with multiple departments to ensure efficient workflow and effective administrative processes
  • Provide support to the administrative department in a manner that optimizes efficiency resources and client satisfaction

Experience you will need:

  • High school diploma or equivalent
  • Proven experience as an administrative assistant or in a related role
  • Proficient in Google Workspace (Docs Sheets)
  • Strong communication skills both verbal and written
  • Excellent organizational and time management abilities
  • Attention to detail and accuracy in completing tasks
  • Ability to multitask and prioritize tasks effectively
  • Professional and courteous demeanor when interacting with visitors and staff
