Job Description

Job Title: Personal Assistant (PA) to the Managing Director

Reports To: Managing Director (MD)

Location: Elimn Headquarters Garden Estate Nairobi Kenya

Remuneration: Kshs.

DESCRIPTION

We are seeking a highly organized and proactive Personal Assistant to support the Managing Director of Elimn and its associated businesses. The role involves managing daytoday operations coordinating communication overseeing schedules and providing strategic support to ensure seamless execution of business objectives. The ideal candidate will have advanced knowledge of Microsoft Word PowerPoint and Excel excellent research and writing skills and proficiency in using tools like ChatGPT. A diploma in Business Administration or a related field is required with a degree being an added advantage. This is a pivotal role requiring exceptional multitasking and problemsolving abilities to drive efficiency and productivity across the organization.

KEY RESPONSIBILITIES

1. Executive Support

  • Task Prioritization: Assist the MD in prioritizing daily tasks and business objectives across all Elimn businesses to ensure critical activities are addressed first.
  • Documentation Preparation: Draft organize and review documents including business reports contracts and presentations ensuring they align with business objectives.
  • FollowUp Management: Track and follow up on action points from meetings and ensure timely execution of deliverables by relevant team members.


2. Internal Coordination

  • Schedule Management: Coordinate the MD s meetings with department heads external stakeholders and clients ensuring alignment with business priorities.
  • Communication Hub: Serve as the main point of contact for relaying information between the MD and all Elimn businesses ensuring smooth information flow and resolving any bottlenecks.
  • Meeting Preparation and FollowUp: Prepare necessary documents data and reports for meetings chaired by the MD and follow up on implementation of discussed action points.


3. Operational Oversight

  • Project Monitoring: Assist the MD in tracking progress on critical projects across Elimn businesses ensuring milestones are met and identifying areas requiring intervention.
  • Vendor and Supplier Liaison: Coordinate with vendors and suppliers to support the MD in maintaining strong relationships and addressing any operational challenges.


4. Administrative Duties

  • Record Management: Maintain organized and accessible records of key business documents contracts and operational reports.
  • Compliance Monitoring: Keep the MD informed about deadlines for regulatory filings business licenses or compliance requirements.


5. Strategy Implementation

  • Support in Strategic Planning: Assist the MD in developing and implementing business strategies across all Elimn businesses.
  • Performance Tracking: Monitor the execution of strategic initiatives and provide regular updates to the MD on progress and outcomes.
  • Research and Analysis: Conduct market research and analysis to inform strategic decisions and identify opportunities for business growth.


Requirements

KEY COMPETENCIES AND SKILLS

  • Organizational Skills: Exceptional ability to manage multiple tasks and priorities efficiently.
  • Communication Skills: Strong verbal and written communication skills for effective interaction with stakeholders.
  • Discretion: Ability to handle confidential information with the utmost discretion.
  • ProblemSolving: Proactive approach to identifying issues and implementing solutions.
  • Technical Proficiency: Proficiency in Microsoft Office Suite and familiarity with inventory management software. Advanced knowledge of Microsoft Word PowerPoint and Excel is required.
  • Research and Analytical Skills: Good research and writing skills to support strategic planning and documentation.
  • AI Proficiency: Familiarity with ChatGPT or similar AI tools for drafting content creation and research assistance.

EDUCATION AND EXPERIENCE

  • Minimum Education: Diploma in Business Administration Office Management or a related field. A degree in a relevant field will be an added advantage.
  • Experience: At least 35 years of experience as a Personal Assistant or in a similar role preferably within the automotive or manufacturing industry.
