Job Title: Administrative Support
Duration: 3 Months (Possible Extension)
Location: Jamaica Plain MA 02130
Position Summary:
We are looking for an organized and detailoriented Administrative Support professional to assist our team with various administrative tasks supporting the Director and staff in communication scheduling and office organization. The ideal candidate will be proactive able to multitask and thrive in a fastpaced environment.
Key Responsibilities:
- Provide administrative support to the Director and team.
- Manage incoming/outgoing mail internal correspondence and telephone calls.
- Coordinate meetings including room reservations notifications and preparation.
- Assist with new hire IT onboarding and account management.
- Track appointments and meetings take and distribute meeting minutes.
- Ensure compliance with Open Meeting Law and maintain organizational charts.
- Process information requests for the Director ensuring timely responses.
- Act as a liaison between the Director and hospital staff.
- Maintain smooth daily operations and address issues as they arise.
- Prepare reports and present data using Microsoft Office tools.

Qualifications:
- 3 years of experience in administrative support (healthcare preferred).
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Familiarity with meeting coordination minutetaking and recordkeeping.
