Job Description

Roles and responsibilities


Administrative Support:
Managing the General Manager's calendar, scheduling meetings, and coordinating appointments.
Handling correspondence, including emails, phone calls, and letters, on behalf of the General Manager.
Preparing and distributing meeting agendas, minutes, and reports.
Documentation and Reporting:
Assisting in the preparation of various reports and presentations.
Maintaining accurate records and filing systems for easy retrieval of information.
Compiling and analyzing data for reports and presentations.
Meeting Coordination:
Organizing and coordinating meetings, including executive committee meetings and department meetings.
Attending meetings, taking notes, and ensuring follow-up on action items.
Guest Relations:
Handling VIP guest requests and ensuring their needs are met.
Coordinating special arrangements for VIP guests and ensuring a high level of service.
Project Management:
Assisting with special projects and initiatives as directed by the General Manager.
Coordinating with various departments to ensure project milestones are met.
Communication:
Acting as a liaison between the General Manager and other hotel staff, guests, and external partners.
Ensuring effective communication and information flow within the hotel.
Problem-Solving and Issue Resolution:
Addressing any issues or concerns that arise and finding effective solutions.
Ensuring that the General Manager is informed of any significant issues.
Event Planning and Coordination:
Assisting in the planning and execution of hotel events and functions.
Coordinating with other departments to ensure successful event execution.
Operational Management:
Oversee Daily Operations: Manage the daily activities of the organization or specific departments, ensuring that processes run smoothly and goals are achieved.
Staff Supervision: Supervise and guide department managers or staff, providing leadership, support, and training. Ensure that employees perform their duties efficiently and in line with company expectations.
Resource Allocation: Ensure that resources (staff, equipment, supplies) are allocated appropriately to meet the operational needs of the organization.


Desired candidate profile

  • Strong Communication Skills:
    • Ability to communicate clearly and effectively with the General Manager, hotel staff, and guests.
  • Organizational Skills:
    • Managing multiple tasks and maintaining detailed records efficiently.
  • Attention to Detail:
    • Ensuring accuracy in documentation and scheduling.
  • Interpersonal Skills:
    • Building rapport and maintaining relationships with guests and colleagues.
  • Problem-Solving Skills:
    • Addressing and resolving issues promptly and effectively.
  • Discretion and Confidentiality:
    • Handling sensitive information with discretion and maintaining confidentiality.

Working as an Executive Assistant to the General Manager in an international luxury hotel requires a combination of strong communication, organizational, and problem-solving skills. This role is essential for ensuring that the General Manager can focus on strategic initiatives while the day-to-day administrative tasks are handled efficiently

What We Need From You

Ideally, you'll have some or all of the following competencies and experience we're looking for:

  • Bachelor’s degree, higher education qualification or equivalent in Hotel Administration / Business Administration
  • Two to Three years’ prior tenure in a similar role
  • International luxury hotel chain background
  • GCC exposure
  • English Fluency is required
  • Arabic Fluency is preferred
