Job Description

Roles and responsibilities

Qiddiya Investment Company is leading the charge in developing a world-class entertainment and leisure destination in Saudi Arabia. We are currently seeking a highly organized and motivated professional to fill the role of Senior Coordinator - Administration and Facility Management. In this key position, you will play an essential role in ensuring the efficient operation of our facilities and administrative functions.

Your expertise will contribute significantly to enhancing employee experience and operational effectiveness. You will coordinate administrative tasks, facility management activities, and provide essential support to various departments, ensuring every aspect of our operations runs smoothly.

Responsibilities

  • Operational Coordination: Oversee daily operations.
  • Maintenance Scheduling: Coordinate maintenance activities.
  • Vendor Liaison: Manage relationships with vendors and contractors.
  • Budget Monitoring: Track budget and expenses.
  • Health and Safety Compliance: Ensure adherence to regulations.
  • Space Management: Support space planning and utilization.
  • Project Coordination: Assist in facility improvement projects
  • Emergency Preparedness: Develop emergency response plans.
  • Sustainability Initiatives**: Support sustainability practices.
  • Reporting and Documentation: Maintain accurate records.
  • Team Collaboration: Understand various departmental needs.
  • Training and Support: Provide training and support to junior staff.
  • Facility Maintenance Coordination
    Oversee the routine maintenance of the facility, ensuring that everything from HVAC systems to lighting and plumbing is functioning properly.
    Schedule and manage preventive maintenance to avoid disruptions and extend the life of the building and equipment.
    Coordinate repairs and maintenance services, liaising with vendors, contractors, and service providers to address issues promptly.
    Monitor the condition of the facility and identify any needs for repairs, upgrades, or improvements.
    Vendor and Contractor Management
    Source and manage relationships with external contractors and service providers, ensuring they meet the organization's quality and performance standards.
    Obtain quotes for services, negotiate contracts, and ensure that vendors comply with safety and legal regulations.
    Monitor vendor performance and ensure services are delivered on time and within budget.

Desired candidate profile

Bachelor's degree in Business Administration, Facility Management, or a related field
Minimum of 1-3 years of experience in administration and facility management
Strong understanding of facility management principles and practices
Experience in vendor management and negotiation
Proficiency in using facility management software and Microsoft Office Suite
Excellent communication and interpersonal abilities to collaborate effectively with diverse teams
Ability to handle multiple projects simultaneously and work effectively under pressure
Knowledge of health and safety regulations pertaining to facility management
Sustainability Initiatives**: Support sustainability practices.
Reporting and Documentation: Maintain accurate records.
Team Collaboration: Understand various departmental needs.
