Virtual Rockstar is seeking a highly organized proactive and detailoriented Executive Assistant/Bookkeeper to join our client s financial team. This fulltime remote role will work closely with the CEO and CFO to provide comprehensive administrative support manage bookkeeping tasks and ensure smooth daily operations. The ideal candidate will be comfortable handling a mix of financial duties communication management scheduling and project coordination while maintaining a positive supportive work environment.

Responsibilities:
Financial Administration & Bookkeeping:
Provide bookkeeping support including data entry and expense report management.
Research and process commission payments for insurance agents.
Manage vendor payments and financial documentation.
Communication Management:
Efficiently manage email inboxes triage messages and prioritize responses.
Track and follow up on meeting action items and communicate important updates.
Coordinate virtual meetings including scheduling preparation and notetaking during meetings to capture action items.
Project Coordination:
Assist in managing creative projects with outsourced vendors.
Edit and enhance presentations and other projectrelated documents.
Perform quality checks on chatbot responses and other automated communication systems.
Calendar and Travel Management:
Schedule and coordinate appointments ensuring smooth daytoday operations.
Conduct travel research and handle bookings for business trips.
Organize inperson and virtual meeting logistics and followup.
Relationship Management:
Coordinate recognition programs for team birthdays special events and achievements (gifts flowers cards).
Manage relationships with vendors and agents ensuring timely communication and excellent service.
Assist with social media followups such as responding to comments and managing interactions.
Proven experience in executive assistance bookkeeping or related roles.
Familiarity with Google Suite (Docs Sheets Gmail Slides Meet) QuickBooks MS Word MS Excel and project management tools (Basecamp Asana) is a plus.
Strong organizational skills and the ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills.
Detailoriented and able to handle confidential financial information with discretion.
Comfortable working in a remote environment and collaborating with team members in various locations.
Proactive problemsolver with a positive attitude and an ability to work independently.
